Description:
This contractor position will work up to 40 hours per week in the Administrative Office. General work hours would be 7:30 am to 4:00 pm Monday through Friday with a 30-minute unpaid lunch break. Flexibility in schedule is required at times for shift worker access or specific tasks.
Administrative assistant to the HSEQ Department at the Newark Compounding Facility (NEW). A key contributor to the success of the HSEQ department at NEW who’s responsibilities include:
Medical monitoring program:
Assists in the planning and scheduling related to required annual health screenings for employees
Assists in the planning and completion of required hearing testing for employees
Assists in the planning and completion of respiratory fit testing for employees
Assists in the planning and completion of required random drug screening
Provides required medical records to corporate health representatives via interal software
Ensure that HIPAA regulations related to the above are strictly followed
Assists in coordination of blood drives and other health and wellness initiatives
Skills/Qualifications of the Candidate:
Qualifications required: HS Diploma, proficiency in Microsoft Office software (Outlook, PowerPoint, Word & Excel), ability to learn and utilize site specific software as required (i.e. medical monitoring, fit testing, audiogram, etc.), a high attention to detail and discretion in handling employee records/information to ensure they are maintained under strict confidentiality, great multitasking and organizational skills, and a high level of team collaboration. Previous experience in an office environment preferred, experience in HSEQ or medical capacity a plus. Must be willing to sign a Non-Disclosure Agreement to perform medical paperwork functions and transfer the data into medical database. Become certified in CAOHC (Hearing Conservation).
General Administrative Duties:
Assists HSEQ Team in development/maintenance of HSEQ procedures
Scans and files production and laboratory records
Serves as backup coverage for the front desk and supervision of the “box lid” crew as needed
Safety training would be provided initially and throughout duration of assignment through Workday (web-based training assigned according to position duties)
Front desk duties include greeting visitors, answering phones, processing mail, providing information to callers and other administrative duties as assigned.
