Purpose & Job Related Requirements

Purpose of Job

The purpose of this job is to provide support and assistance in one or more of the following areas : secretarial and clerical, program coordination and assistance, daily support of operations and maintenance, and / or animal / exhibit maintenance and care, and performing additional tasks as assigned.

Job Related Requirements

Work Schedule for Sandy Creek Park : Responsible for closing the Park; the typical schedule is Wednesday - Sunday 8 hour shift plus one (1) hour for lunch. Closing time changes with the seasons and follows sunset throughout the year.

May be required to work on religious holidays.

May be required to work evening and weekend events and rentals on occasion.

Regular and predictable attendance is required.

Must work cooperatively with others.

When requirements include vehicle operation, responsible for the safety, readiness and operation of the vehicle and must abide by ACC's safe driving policy.

Minimum Training & Experience Required to Perform Essential Job Functions

High school diploma or equivalent with one year of secretarial / clerical or applicable recreational experience required; or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job.

Must possess a valid driver's license.

Must be certified in First Aid / CPR or have ability to attain within 6 months of employment.

Must have or receive in first 6 months FEMA ICS NIMS 100, 200, 700, & 800 virtual training.

Supervisory experience is preferred.

Essential Duties, Responsibilities

The following duties are normal for this job. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned.

Assists in directing the work of part-time staff, volunteers and / or community service workers.

Collects cash, checks, and credit card payments for entry fees, facility rentals and program registration, and records and processes per ACC cash handling policies, utilizing Point-of-Sale software where applicable.

Prepares deposits and all necessary financial paperwork.

Monitors assigned facility; greets participants; enforces park rules and regulations.

Answers the telephone and / or radio, and directs calls to appropriate personnel; provides information to the public regarding programs, services, activities and reservations.

Provides secretarial and clerical support to the assigned facility; prepares, types correspondence and reports; copies documents; compiles employee time sheets; processes mail; distributes payroll checks; creates / revises and distributes brochures and other informational / educational materials.

Prepares facility paperwork, including authorizations for payment, labor vouchers, performance agreements and contracts. Updates facility website and calendar of events.

Assists with planning, coordinating, implementing and evaluating events, programs and activities at assigned facility. Transports participants to and from activities.

Assists with the organization, planning and delivery of summer day camp programs. Prepares weekly, monthly, quarterly, and annual reports.

Assists with monitoring and maintaining facilities and grounds, including safety inspections and enforcement of park rules and regulations.

Opens and closes the facility, as needed.

Requisitions supplies, maintains inventory of office supplies, brochures, and needed forms.

Establishes and maintains contact and communication with outside agencies, groups, organizations, and volunteers.

Prepares facility and / or grounds for programs, rentals, and events, including related maintenance and security needs and concerns.

Assists with general housekeeping and / or trail maintenance as needed.

Provides assistance and support to animal care and educational exhibit activities.

Serves as back-up to the Division's Administrative Assistant, as needed.

Serves on assigned committees.

Performs other related duties as required.

Knowledge, Skills and Abilities

Knowledge of the principles, practices and procedures of the Athens-Clarke County Government and the operations and functions of the Leisure Services Department.

Knowledge of secretarial, maintenance and recreational practices, policies and procedures as necessary in the completion of daily responsibilities.

Knowledge of modern office procedures.

Skill in planning and coordinating activities, oral and written communication, operating modern office equipment and maintaining accurate records.

Skill in organization, management, human relations, and technical skills.

Ability to assist with the development of policies, procedures, plans and activities, and to monitor performance of assigned volunteers and part-time staff.

Ability to effectively communicate and interact with subordinates, management, employees, members of the general public and all other groups involved in the activities of the Athens-Clarke County Government as they relate to the Leisure Services Department.

Ability to assemble information and make written reports and documents in a concise, clear and effective manner.

Ability to use independent judgment and discretion including the handling of emergency situations, determining and deciding upon procedures to be implemented, setting priorities, maintaining standards, and resolving problems.

Ability to comprehend, interpret, and apply regulations, procedures, and related information.

Ability to handle mathematical calculations.

PHYSICAL REQUIREMENTS : Must be able to use body members to work, move, or carry objects or materials. Must be physically able to operate a variety of machinery and equipment including a computer, copying machine, calculator, tablet, radio, IP phone, video conference equipment, scanner, and bicycle. This position requires : walking, standing, bending, stooping, pushing, pulling, lifting, fingering, grasping, feeling, seeing, talking, hearing, and repetitive motions. Must be able to work indoors and outdoors subject to rain, wind, cold and hot temperatures and potentially wildlife. Must be able to exert up to 50 pounds of force occasionally, and / or up to 20 pounds of force frequently. Physical demand requirements are at levels of those of medium work.

DATA CONCEPTION : Requires the ability to compare and / or judge the readily observable functional, structural, or compositional characteristics (whether similar to or divergent from obvious standards) of data, people, or things.

INTERPERSONAL COMMUNICATION : Requires the ability to hear, speak and / or signal people to convey or exchange information. Includes giving and receiving assignments and / or directions to co-workers and assistants or from supervisors.

LANGUAGE ABILITY : Requires ability to read a variety of time sheets, requisitions, invoices, newspapers, letters, memos and informational documentation, directions, instructions, and methods and procedures. Requires the ability to prepare reports, purchase orders billing statements, time sheets, documents, applications, logs and maintenance forms using prescribed formats and conforming to all rules of punctuation, grammar, diction, and style. Requires the ability to speak to people with poise, voice control, and confidence.

INTELLIGENCE : Requires the ability to learn and understand basic principles and techniques; to acquire and be able to expound on knowledge of topics related to primary occupation; and to make independent judgment in the absence of management.

VERBAL APTITUDE : Requires the ability to record and deliver information, to explain procedures, and to follow oral and written instructions. Must be able to communicate effectively and efficiently in a variety of administrative, technical or professional languages.

NUMERICAL APTITUDE : Requires the ability to utilize mathematical formulas; add and subtract totals; multiply and divide.

FORM / SPATIAL APTITUDE : Requires the ability to inspect items for proper length, width, and shape, visually with a computer, copying machine, calculator and typewriter.

MOTOR COORDINATION : Requires the ability to coordinate hands, fingers, and eyes accurately in using a computer, copying machine, calculator and typewriter. Requires the ability to use the keyboard, lift, bend, push, and pull objects or materials using body parts as the position necessitates.

MANUAL DEXTERITY : Requires the ability to handle a variety of items such as a computer, copying machine, calculator, hand tools, utility vehicles, wheelbarrows and similar maintenance equipment. Must have the ability to use one hand for twisting or turning motion while coordinating other hand with different activities. Must have minimal levels of eye / hand / foot coordination.
