The Athens Regional Library System is hiring an individual for the Athens-Clarke County Library who is committed to offering the best library service to the community. The System will hire an experienced, responsible, creative, and enthusiastic individual who embraces and thrives in an active, fast-paced, culturally diverse environment. This position provides reception and secretarial support to the busy Administration Division of the Athens Regional Library System. This position requires dependability, tact, knowledge of library policies and procedures, and excellent multi-tasking abilities. This position reports directly to the Library Administrative Assistant.
The ability to start, finish, or pick up work projects at various points, without direct supervision, is vital. Must be able to handle tight deadline assignments and a changing work environment. Strong customer service skills are a must.
Minimum Education, Training, and Experience
High school diploma or equivalent required, with college or business school degree or experience preferred. At least one year experience working with the public is required, with public library experience preferred. Or, any equivalent combination of education, training and experience which provides the requisite knowledge, skills, and abilities for the position.
Essential Duties & Responsibilities
The following are normal, but not exclusive or all-inclusive, expectations for this job. Other duties of a similar nature or level may be required as assigned and job assignments and work schedule may change in the future.
- Provides direct customer service to library patrons, assisting with their information and circulation needs.
- Answers the telephone following prescribed method; directs calls and voicemails to appropriate personnel; renews books; takes messages; answers basic questions on a variety of public services.
- Physically retrieves and prepares PINES transit
- Following policies and established procedures, interacts with patrons and staff to reserve meeting rooms and updates daily meeting room notices.
- Screens Administrative Office visitors.
- Maintains daily staff calendar and posts daily bulletin board via email.
- Provides clerical services, including but not limited to: copying; faxing; typing; metering mail; accepting fees.
- Maintains the cleanliness of the reception area which may include putting away supplies.
- Weighs & mails letters and packages using an online mail system.
- Maintains and reports monthly statistics according to prescribed office practice.
- Updates employee telephone extension list and other communications lists monthly or as needed.
- Supports Administration personnel as needed.
Knowledge, Skills and Abilities
- Skill in oral and written communication, knowledge of excellent telephone etiquette.
- Public relations skills to ensure that all patron transactions are conducted in an efficient, positive, and professional manner, with every effort made to satisfy requests while upholding library policies.
- Knowledge of computer applications, clerical techniques, and modern office practices and equipment. Understanding and knowledge of library automation system/online catalog. Willingness to continue learning and training with such systems, equipment, programs, and practices.
- Ability to follow instruction meticulously and learn new procedures in a timely manner.
- Ability to multitask on a daily basis.
- Ability to remain consistently calm and professional under busy, stressful conditions.
- Ability to maintain an attitude of constant improvement.
- Ability to work with people with tact, patience and courtesy and to maintain effective working relationships with other employees, as well as be an eager assistant to all Administrative personnel.
- Ability to answer questions and explain procedures and policies.
- Ability to exercise good judgment and make decisions within guidelines.
- Ability to locate information for patrons. Knowledge of programs, activities, and facilities of the Athens Regional Library System.
- Knowledge of all building emergency procedures and how to support building maintenance.
- Skill in organization and time management.
- Ability to maintain regular, predictable, and punctual attendance.
- Physical demand requirements are at levels of Medium Work.
