Job Description
- Perform administrative tasks such as drafting letters, memos, invoices, reports, and other documents for executives.
- Arrange travel and accommodations for executives.
- Schedule and coordinate internal and external meetings, both in-person and via video conferencing.
- Attend meetings on behalf of executives, taking notes and recording minutes.
- Review and manage incoming communications or memos, assess importance, and distribute content as needed.
- Manage special projects from initiation to completion, ensuring deadlines are met.
- Screen and respond to calls, emails, and other inquiries on behalf of executives.
- Handle a high volume of tasks with minimal guidance and maintain flexibility to respond to urgent situations.
- Maintain a high level of integrity and discretion when handling confidential information.
- Professionally represent the organization in all interactions with employees, vendors, and external partners.
- Perform other related duties as assigned.
- Bachelor's Degree in Business, Human Resources, or a related field.
- Bilingual proficiency in English and Spanish.
- Proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.
- Exceptional organizational, problem-solving, and interpersonal skills.
- Ability to prioritize tasks, manage deadlines, and handle multiple projects simultaneously.
- Strong verbal and written communication skills.
- Ability to collaborate effectively with executives and management teams.
