Position Summary Information

Duties

The Administrative Assistant for Field Experience and Internship position is responsible for a variety of activities related to field experience placement and student intern placement. This position reports to the Director of Teacher Education Services & Certification.

Essential Functions

  • Organization/maintenance of contact log for FE placement and Internship contracts
  • Work with FEI Coordinator in the organization/preparation of instructor led FE assignments
  • Record/Maintain Intern Supervisor Travel Expense Forms
  • Maintain/Record FE Verification Forms and Internship Attendance Forms
  • Set up/maintain student placements, including drop/add, in Banner for Field Experience and Internship
  • Create reports through ARGOS database
  • Assist in organizing and scheduling Internship Seminar and Field Experience activities
  • Provide to faculty a listing of student intern(s) and school assignment(s) each semester
  • Email student & school assignments to faculty each semester
  • Assist with questions from student, faculty and supervisors regarding Internship Blackboard course
  • Demonstrate flexibility and adaptability to changing work scope and tasks based on need
  • Actively work towards building cooperative and collaborative relationships with peers and internal faculty and staff
  • Maintain "open door" to internal and external customers
  • Identify opportunities for improvements to work practices and offer viable solutions for implementation
  • Proactively engage in problem-solving related to tasks in this position with internal and external people
  • Routinely practice self-monitoring by assessing self to make improvements or take corrective action to improve performance
  • Complete other tasks as assigned

Qualifications

QUALIFICATIONS REQUIRED

  • High School diploma or its equivalent required; Bachelor's degree preferred
  • Ability to understand oral and written instructions required
  • Computer knowledge and experience required

Other Qualifications And Job Requirements

  • Experience in using Banner and Excel preferred
  • Experience with database software and Argos preferred
  • Ability to organize and work independently
  • Ability to communicate effectively and establish and maintain positive working relationships

WORKING CONDITIONS

  • Must be able to remain in a stationary position such as standing and/or sitting for a prolonged period of time
  • Frequently tasked with filing which may require low postures such as crouching, kneeling, and/or stooping
  • Must be able to occasionally adjust or move objects up to 25 pounds in all directions.
  • This position requires constant communication with others to exchange information
  • Frequently uses hands/fingers to operate a computer and other office productivity machinery, such as copier, printer, etc.
  • Occasionally tasked with operating a motor vehicle to travel for university business
  • Frequently uses near vision for use of computers and reading small print

Located in historic Athens, Alabama, Athens State University offers junior and senior-level coursework to community college graduates and transfer students holding sufficient credits from other institutions.
