JOB SUMMARY:The Executive Administrative Assistant to the Dean of Colleges is a proactive self-starter with strong organizational, communication, and leadership skills, responsible for providing comprehensive support for the Dean of Colleges. This role requires managing a variety of programs and initiatives while maintaining the strategic vision of the Dean, and encompasses tasks like managing schedules, coordinating meetings, handling correspondence, and assisting with faculty-related processes, all while maintaining confidentiality.ESSENTIAL FUNCTIONS:
- Oversee executive, strategic, operational, and administrative tasks essential for the success of the Deans office
- Coordinate the flow of information between the Dean of Colleges office and each individual college
- Assist the Dean to ensure accreditation and state deadlines are monitored and met
- Assist the Dean in monitoring and ensuring deadlines are met for annual submission of schedules, catalog changes, and faculty evaluations
- Assist Dean with budgeting and planning documents
- Evaluate data and prepare reports containing findings, conclusions, and recommendations
- Demonstrate flexibility and adaptability to changing work scope and tasks based on need
- Identify opportunities for improvements to work practices and offer viable solutions for implementation
- Proactively engage in problem-solving related to tasks in this position with internal and external people.
- Complete other tasks as assigned
- Minimum of Associates Degree is required
- Basic computer knowledge and experience required
- A minimum of three years of experience in a higher education environment
- Ability to understand oral and written instructions required
- Ability to organize and work independently required
- Ability to communicate effectively and establish and maintain positive working relationships required
- Bachelors degree preferred
- Experience in using Banner and Excel preferred
- Experience with database software and Argos preferred
- Ability to remain in a stationary position such as standing and/or sitting for a prolonged period of time
- Occasionally tasked with filing which sometimes requires low postures such as crouching, kneeling, and/or stooping
- Ability to adjust or move objects up to 20 pounds
- Job frequently requires communication with others to exchange informatIon
- Frequently uses hands/fingers to operate a computer and other office productivity machinery, such as copier, printer, etc.
- Frequently uses near vision for use of computers and reading small print
