Essential Functions
- Helps to orient new employees to the departmental procedures
- Trains and educates employees to help employees improve processes, become more efficient and to better meet customer needs
- Develops systems that optimize workflow and meets / exceeds customer needs
- Helps to develop systems to prevent problems from occurring and/or reoccurring.
- Provides assistance to Manger for reviews, analyzes, maintains, and adjusts staffing to ensure all needed tasks are completed.
- Provides assistance to the Manger to prioritize assignments and delegates work to staff within department.
- Assists manager by performing part, or all of the manager’s job for short periods of time as needed so that departmental goals and tasks can be met/exceeded
- Completes specific assignments and assists staff in completing work when short staffed or under tight deadlines
- Coordinates the daily activities of the Medical Records Department
- Demonstrated ability to work independently and multitask
- Prioritize work and meet project deadlines
- Exceptional organizational skills demonstrated ability to coordinate events and staff activities
- Demonstrated ability to work cooperatively with a range of health care professionals
Must be able to effectively handle sensitive and high stress situations; exercises a high degree of confidentiality, diplomacy, and discretion.
No managerial responsibilities, but has the ability to act on behalf of the management staff in their absence.
- Support the Manager with the Medical Records Staff to resolve issue and concerns in a timely fashion to ensure smooth operations within the department.
- Ensures compliance of all federal, state, JCAHO regulations and standards relative to Medical Records
- Serves as a support person to help identify and design, develop or refine specifications for new HIM systems or enhancements to existing systems to support HIM programs / initiatives
- Collaborates with health care professionals using automation to ensure appropriate, effective usage and understanding of the systems and Denial process
- Utilizes communication skills and leadership skills to work collaboratively with team members and person from various constituencies in the accomplishment of required tasks
- Provides support to the Manager to help the development and implementation of HIM and information systems to ensure desired goals and objectives are met.
- Provides quality customer service, serving as an exemplary representative of the organization’s mission, vision and values
- Establishes and creates a positive team environment through leadership and mentoring.
- Coordinates the training provided during new employee orientation to support competency of new users in their use of the HIM operations
- Participates in post implementation change evaluation and supports users in maintaining changed workflow and technological processes.
- Works together with departmental and healthcare teams to complete assignments.
- Prioritizes and reprioritizes work based on the changing needs of the customers, in communication with the Manager of Health Information Management.

Qualifications
Job Requirements
Sufficient previous experience in community or hospital volunteer experience with supervisory responsibilities.
Ability to communicate effectively both orally and written.
Strong interpersonal skills, tact, professional appearance, ability to make decisions and supervise others.
Minimum Work Experience

- Working knowledge of CPSI, MEDITECH MAGIC and MEDITECH EXPANSE
- A minimum of three years of HIM department experience required
- Base knowledge of Denial Management.

- Ability to comprehend and accurately interpret all aspects of medical documentation as relative to HIM needs
- Aptitude for precise, complex, and detailed clerical work
- Ability to follow specific, detailed procedures and routines. Manual dexterity, visual acuity, and good reading skills
- Ability to enter data rapidly and accurately into computer system.
