JOB EMPHASIS AND PURPOSE:

The Buyer is responsible for managing the procurement of materials and services essential to the company's operations. This role includes submitting purchase orders, monitoring delivery schedules, maintaining supplier relationships, and ensuring that all procurement activities align with company policies and objectives.


Key Responsibilities:

  • Purchase Order Management:
    • Submit purchase orders based on approved requisitions, ensuring accuracy in quantity, pricing, and delivery requirements.
  • Supplier Relations:
    • Assist the Purchasing Manager in supplier meetings to discuss order status, negotiate terms, and address any concerns related to quality, delivery, or pricing.
    • Foster and maintain positive relationships with suppliers to ensure reliable supply chains.
  • Order Follow-Up:
    • Track orders and follow up with suppliers on orders to ensure on-time delivery.
    • Communicate any changes to delivery to affected parties, including but not limited to, Scheduling, Customer Facing, and Operations.
    • Resolve any issues related to delayed or incomplete orders promptly to minimize the impact on production schedules.
  • Documentation and Record Keeping:
    • Process and file all purchasing-related paperwork, including purchase orders, delivery notes, and invoices.
    • Maintain accurate and up-to-date records of all procurement activities.
  • Inventory Coordination:
    • Work closely with the Inventory Manager to ensure stock levels are maintained at optimal levels, avoiding overstock or stockouts.
    • Participate in inventory audits and cycle counts as necessary.
  • Cost Management:
    • Monitor and evaluate supplier pricing and seek cost-saving opportunities without compromising quality or service.
    • Assist in preparing cost analyses and reports to support purchasing decisions and communicate the impact to the Customer Facing Team.
  • Compliance and Policy Adherence:
    • Ensure all purchasing activities comply with company policies and industry regulations.
    • Keep informed of any changes in purchasing laws and regulations and work with Quality to ensure necessary regulatory requirements are met.
  • General Purchasing Duties:
    • Perform other standard buyer duties, such as conducting market research, evaluating potential suppliers, and assisting with contract negotiations.


Qualifications:

  • Bachelor’s degree in Business Administration, Supply Chain Management, or a related field preferred.
  • Minimum of 3 years of experience in a similar role, preferably within a manufacturing or industrial setting.
  • Strong negotiation skills and the ability to develop and maintain supplier relationships.
  • Proficiency in Microsoft Office Suite and experience with procurement software.
  • Excellent organizational skills and attention to detail.
  • Ability to work independently and as part of a team.
  • Strong analytical and problem-solving abilities.


Working Hours / Environment

  • Office hours are 40 hours per week (Monday – Friday). May require additional hours periodically, including evenings and weekends, depending on business needs.
  • This position is typically performed in an office setting with occasional visits to supplier locations.


Physical and Mental Demands

  • Frequently required to sit at a desk/workstation for long periods of time.
  • Ability to work at a computer terminal for extended periods of time.
  • Digital dexterity and hand/eye coordination in operation of office equipment.
  • Light lifting and carrying supplies, files, etc.
  • Ability to speak to and hear employees/clients via phone or in person.
  • Body motor skills sufficient to enable incumbent to move around the office environment.
  • Additional Mental Requirements: compare, decide, direct, problem solve, analyze, instruct, and interpret.
  • Ability to stand, walk, and move around in a manufacturing environment as needed.
