Job Summary:
The Program Manager will oversee the planning, execution, and evaluation of all foundation impact portfolios, ensuring they align with the foundation’s mission and strategic goals. This position involves managing budgets, coordinating with internal and external stakeholders, tracking portfolio performance, and driving program effectiveness. Key Responsibilities:
Program Oversight:
- Oversee all impact portfolios, including Education, Housing, Technology and Equipment, and Quality of Life and Wellness.
- Ensure each portfolio aligns with the foundation’s mission, meets community needs, and enhances the well-being of first responders.
- Collaborate with portfolio coordinator(s) to provide guidance, monitor progress, and ensure each portfolio’s goals and objectives are met.
- Planning & Development:
- Lead the development and implementation of new initiatives within each impact portfolio based on community needs and resources.
- Partner with the Director of Operations to establish annual portfolio goals, metrics, and budgets.
- Drive continuous improvement by evaluating portfolio outcomes, identifying challenges, and recommending adjustments or new initiatives.
- Stakeholder Coordination:
- Act as the primary point of contact for key community and educational partners, board members, and city officials.
- Coordinate with the foundation’s communication and marketing teams to ensure accurate representation and awareness of portfolio initiatives and successes.
- Foster partnerships with local organizations, donors, and volunteers to enhance portfolio reach and impact.
- Budget & Resource Management:
- Work closely with the Director of Development to monitor funding and ensure alignment of portfolio activities with funding opportunities.
- Manage portfolio budgets, track expenditures, and ensure resources are allocated effectively.
- Collaborate with the development team to support grant reporting, proposals, and financial oversight within each portfolio.
- Ensure that portfolio operations are efficient, cost-effective, and within approved budgets.
- Performance Tracking & Reporting:
- Develop and maintain comprehensive records and reports on portfolio metrics, attendance, and outcomes.
- Prepare regular performance reports for the Director of Operations, CEO, and board members.
- Leverage data insights to optimize portfolio delivery and share success stories to reinforce donor support.
- Compliance & Documentation:
- Ensure all portfolio activities are compliant with foundation policies and relevant local, state, and federal regulations.
- Develop and maintain standard operating procedures (SOPs) for each portfolio, including clear documentation for workflows, roles, and responsibilities.
- Team Leadership:
- Provide mentorship and support to portfolio coordinators and interns.
- Coordinate weekly team check-ins to discuss updates, challenges, and upcoming activities within each portfolio.
Foster a collaborative, mission-driven team culture focused on accountability and high performance.
Qualifications:
Bachelor’s degree in Public Administration, Nonprofit Management, Social Work, or related field; Master’s degree preferred.
- Minimum of 3-5 years of experience in program management, nonprofit leadership, or a related role.
- Proven experience with budget management, stakeholder engagement, and program evaluation.
- Excellent communication and interpersonal skills, with the ability to work effectively with diverse groups, including donors, community leaders, and first responders.
- Strong organizational skills, attention to detail, and the ability to manage multiple priorities and deadlines.
- Proficiency in Microsoft Office Suite, Google Workspace, and project management software.
Familiarity with ADP is a plus.
