Description
The Stewardship Coordinator is responsible for assisting with the stewardship of all donor levels with a primary focus on donors contributing cumulative gifts under $1,000 annually, ensuring meaningful engagement and recognition. This position supports donor acknowledgment, data management, and communication efforts, playing a vital role in enhancing donor retention and cultivation. Additionally, the Stewardship Coordinator provides administrative and logistical support to the Guardian Circle and Major Gift teams as needed.
Key Responsibilities
- Assist in the acknowledgment process for donors contributing gifts under $1,000, including preparing and sending personalized thank you notes, emails, and acknowledgment letters
- Help maintain a consistent donor stewardship calendar, ensuring regular communication and meaningful touchpoints
- Support donor retention efforts by sharing updates on the impact of gifts and the organization’s activities
- Maintain and organize stewardship supplies, including but not limited to letterhead, envelopes, business cards, and other materials to ensure consistent availability and efficient use
- Accurately document donor interactions, preferences, and contributions in the CRM system (Salesforce)
- Assist in generating reports on stewardship efforts and donor engagement for internal use
- Provide administrative and communication support for the monthly donor program, including retention strategies, impact updates, and acknowledgment processes
- Assist in segmenting donor lists for targeted appeals, acknowledgments, and stewardship touchpoints, ensuring the personalization of outreach
- Regularly review and update donor records to ensure data accuracy and consistency, especially for acknowledgment and reporting purposes
- Support the preparation of materials for donor events, recognition programs, and campaigns
- Work closely with the Direct Marketing and Stewardship Manager to implement donor-centric communication strategies
- Collaborate with the Marketing team to integrate digital and print stewardship efforts effectively
- Provide support to the Guardian Circle and Major Gift teams for special initiatives and projects as needed
- Handle donor inquiries via email, phone, and mailbag communications, ensuring exceptional customer service
- Assist with gift processing coordination and donor acknowledgment efforts in collaboration with the Finance team
- Support other tasks within the Community Engagement team as assigned
Qualifications
- Bachelor’s degree or equivalent experience in nonprofit management, fundraising, or communications preferred
- At least 1 year of experience in donor stewardship, customer service, or a related field
- Strong written and verbal communication skills, with keen attention to detail
- Proficiency in Microsoft Office Suite
- Intermediate knowledge of CRM systems (e.g., Salesforce, Stripe, Classy)
- Excellent organizational and multitasking abilities, with a proactive attitude toward problem-solving
- Team-oriented mindset with the ability to collaborate effectively across departments
