Ultravet Mobile Coordinator

Job Summary: The Ultravet Mobile Coordinator plays a vital role in ensuring the efficient and effective operation of the Ultravet Mobile (UVM) service. This position is responsible for scheduling, overseeing the scheduling, invoicing, payment processing, statements, and communication functions related to the UVM service, as well as managing the logistics of sonographer appointments and ultrasound equipment. The Coordinator will also maintain detailed financial and statistical records and will act as the primary point of contact for issues and concerns related to the UVM service.

Duties and Responsibilities:
- Resolve day-to-day issues that arise with UVM including issues related to scheduling of the sonographers
- Processing UVM payments monthly
- Collecting UVM payments monthly
- Input sonographer invoices daily and ensure they are processed accurately
- Sending out statements to clients monthly
- Equipment malfunctions
- Maintaining statistical and financial records
- Input the sonographers geographic location/schedules into practice management software
- Communicate operational issues and escalate concerns to the Hospital Administrator and Medical Director, as needed
- Post payments to the practice management system as they are collected
- Notify doctors of incoming scans to ensure timely reading and review
- Distribute scan results via email and fax to clients after readings are completed
- Make UVM appointments and coordinate with the corresponding sonographers schedules
- Handle miscellaneous correspondence in a professional manner
- Ensure that qualified personnel are selected for the Ultravet Mobile Sonographer position, and that effective orientation and training programs are in place
- Ensure that all ultrasound machine service agreements are in place and that all equipment is properly maintained, including Jetpacks and laptops
- Make financial decisions that are responsible, accountable, justifiable in accordance with the organizations policies and procedures
- Perform other duties and tasks as directed by the Hospital Administrator, Medical Director or other management staff
Education, Experience & Qualifications:
- High school diploma or equivalent
- Customer service experience
- 3-5 years managerial/supervisory of staff preferred
Computer skills:
- Microsoft Word
- Excel
