Atlantic Medical Imaging (AMI) is seeking a Practice Administrator to lead the day-to-day operations of the Vascular Institute, while prioritizing the patient experience and high quality patient care.
AMI is one of the largest independently owned and operated outpatient radiology practices in New Jersey, with 30 office locations and over 900 employees serving communities throughout Southern & Central NJ. The Vascular Institute Practice Administrator will play a pivotal role in ensuring continued, smooth clinical & administrative operations, collaboration with various organizational departments, and providing a best-in-class patient experience. The Practice Administrator will serve as a leader to the Vascular Institute’s staff and supervisory teams and work closely with the physician leadership team. The Practice Administrator completes the responsibilities of the role under the direction of the Director of Practice & Business Operations.
Core Functions of the Vascular Institute (VI) Practice Administrator:
- Manages VI day to day operational issues, provides direct oversight to supervisors, coordinates with appropriate leadership to identify and resolve issues that require an organizational resolution.
- Reports directly to the Director of Practice and Business Operations (Director) with a dotted line reporting structure to the Medical Director of VI. Provides updates, escalates issues, and suggests resolutions accordingly. Escalates and addresses matters with the VI physician leadership team as needed.
- Manages and ensures optimal scheduling and patient flow, including the timely scheduling of consultations and urgent procedures.
- Functions as Vertex system administrator & super user (VI EMR Platform). Works to improve processes to ensure the efficiency of the EMR, educates and communicates to staff on Vertex updates and changes, assists in making Vertex system changes and updates, and collaborates with IT to maintain a current user list.
- Manages staffing in conjunction with departmental supervisors, providing oversight and supervision of leaders. Manages staff performance, including periodic and annual evaluations when appropriate. Ensures employee discipline or performance improvement plans are promptly addressed and resolved. Completes these efforts to support the highest quality of patient care.
- Working with the Director, identifies recruitment needs for the VI and coordinates with Human Resources to execute recruiting efforts and staffing goals. Ensures that all newly hired employees receive the appropriate training and orientation necessary to be successful in their roles.
- Works with the department and organizational leadership to ensure that staffing competency needs are defined and monitored. Contributes ideas for best practices to ensure high standards for staff competency. Conducts orientation and competency verification in a timely and consistent manner.
- Collaborates with other modalities and works to coordinate scheduling solutions and template designs.
- Develops and maintains relationships with referring offices and wound centers.
- Seeks guidance from Human Resources, Finance, and IT as situations or questions arise.
- Ensures appropriate clinical resources for nursing staff by collaborating with nursing supervisors, in conjunction with best practices for patient care and infection control.
- Works closely with the VI Administrative Supervisor and VI Operations Managers regarding day-to-day operations of the VI Scheduling team and VI Patient Account Representatives (PARs), ensuring high quality call center standards, and that all calls are handled properly and in a timely manner.
- Serves as backup to VI supervisors regarding payroll and PTO matters.
- With the assistance of the Director, oversees the purchase of inventory for the VI along with the Chief Technologist and Medical Director. Identifies cost-saving measures to ensure proper inventory levels at the best prices available.
- Maintains current knowledge in all areas of regulatory issues affecting the VI and assists in the development of policies and procedures to ensure compliance.
- Effectively communicates with staff members, ensuring compliance with policies and procedures, disseminates information on any changes or process improvements that will directly affect the day to day operations of the VI.
- Other duties as assigned.
This full time, salaried position is based in AMI's Galloway Vascular Institute location. Oversight will be provided to AMI Vascular Institute sites throughout the practice, in Central & Southern NJ. The work schedule includes Monday-Friday, days, with flexibility as needed for department and business needs, including offsite meetings and events.
Qualifications
Eligible candidates have a high school diploma, or equivalent; completed college coursework or a Bachelor’s Degree in Healthcare Administration, Business, or a related field is preferred. Healthcare certifications or licensure, such as CCMA, LPN, RT, or RN is a plus. Candidates must have a minimum of 5 years’ experience in healthcare operations or practice management, with a strong focus on day-to-day operational oversight. Work experience in vascular services or Interventional Radiology is a plus.
Candidates must demonstrate proven success in managing operations across multiple facilities with an emphasis on patient experience & care. Exceptional leadership skills are required for success in this role, including a hands-on approach to management, strong decision making skills, critical thinking & problem solving. The ability to effectively collaborate and communicate with a diverse workforce is required, and candidates must have experience working closely with providers, staff members, and management teams.
Strong computer skills with a proficiency in EMR systems and other healthcare platforms is required. Skills must include data analysis and reporting skills as they pertain to performance tracking and trends. Candidates must also have familiarity with insurance and authorization processes, including coding (CPT & ICD-10).
This is an exempt, on-site position based in AMI’s VI locations in New Jersey.
