Why You’ll Love This Role:

As our Administrative Support Specialist, you’ll be the first point of contact for our team and customers, ensuring smooth daily operations. You’ll support various departments, from Accounting and Operations to Sales, giving you a well-rounded experience and opportunities to grow.

What You’ll Do:

  • Be the face of our office—answer calls, assist customers, and qualify lead requests.
  • Keep things running smoothly by preparing reports and setting up for meetings.
  • Assist Sales by creating site maps and entering RFP opportunities into Salesforce.
  • Help coordinate trade shows, forums, and other exciting events.
  • Organize and assemble job folders, manage pre-liens, and handle certified mail.
  • Work closely with Operations to finalize weekly crew plans.
  • Maintain and organize accounts payable files.
  • Keep office supplies stocked and equipment running efficiently.
  • Plan and coordinate office lunches, celebrations, and special events.
  • Keep our team looking sharp by managing uniform needs with Cintas.
  • Review invoices to ensure accuracy with purchase orders and estimates.
  • Take on special projects and other duties as needed.

What We’re Looking For:

  • Associate’s degree or equivalent experience in administration or a related field.
  • 2-3 years of administrative experience in a fast-paced environment.
  • Strong organizational skills and attention to detail.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and database management.
  • Excellent communication skills and ability to build relationships with clients and internal teams.
  • Ability to multitask, prioritize work, and meet deadlines.
  • A proactive, team-oriented mindset with the ability to work independently.
