We are currently seeking for a Project Coordinator & Document Control Specialist based in our Tempe, Arizona office. This role involves assisting with project budgets, schedules, procurement, and administrative tasks while maintaining version control and compliance with document management standards.
Essential Duties and Responsibilities:
Project Coordination:
- Assist project managers in developing project management documents such as budgets, schedules, scope statements, and plans.
- Oversee administrative and financial tasks, including managing invoices, purchase orders, and inventory reports.
- Supervise the project procurement process and ensure timely resource allocation.
- Assign tasks to team members and clarify project milestones and deliverables.
- Act as a liaison between project teams and clients, ensuring clear communication throughout the project lifecycle.
- Monitor project progress, track performance, and provide updates to stakeholders.
- Schedule stakeholder meetings, document discussions, and generate reports.
- Foster cross-team collaboration to enhance project efficiency and deliverables.
Document Control:
- Organize, maintain, and update project-related documents to ensure systematic storage and retrieval.
- Enforce document control procedures and ensure compliance with industry regulations.
- Verify document accuracy, consistency, and completeness before distribution.
- Assist with legal and contract documentation as needed.
- Provide guidance on document control processes and best practices.
Qualifications:
- Experience in project coordination, document control, or records management preferred.
- Proficiency in project management tools and document management systems.
- Strong attention to detail, organizational skills, and ability to multitask.
- Effective communication and problem-solving skills.
- Technical knowledge is essential; legal/contract knowledge is a plus.
