Office Manager Job Purpose: Our behavioral health practice is looking for an experienced and strategic Practice Manager to lead the operational, financial, and administrative functions across four clinic locations. This role will drive practice growth and efficiency while ensuring exceptional patient care and employee satisfaction. The Practice Manager will oversee office operations, supervise team leads, and align practice management with revenue, compliance, and performance goals.
Key Responsibilities:
· Operations Management: Direct all aspects of day-to-day operations across multiple locations, ensuring each clinic runs smoothly and efficiently. Develop and implement policies to streamline processes and enhance patient and staff experiences.
· Team Leadership: Oversee, mentor, and support a team of 5-7 employees, including administrative staff such as Intake Coordinator and Intake Lead, setting clear expectations and goals aligned with clinic objectives. Conduct regular staff performance evaluations and provide development opportunities.
· Financial Oversight: Manage budgets, monitor financial performance, and implement strategies to increase revenue while controlling expenses. Work with billing and finance teams to optimize collections and billing processes.
· Patient Experience and Satisfaction: Ensure high-quality, compassionate patient care by creating an environment that prioritizes patient satisfaction, timely appointments, and efficient scheduling.
· Compliance and Quality Assurance: Ensure all locations are compliant with HIPAA, OSHA, and other healthcare regulations. Regularly review policies and procedures to maintain the highest standard of care and risk management.
· Performance Tracking: Use key performance indicators (KPIs) to track clinic performance, patient outcomes, and operational efficiency. Provide regular reports and data analysis to inform management decisions and strategic planning.
· Revenue Cycle Management: Collaborate with billing staff to improve coding accuracy, streamline billing workflows, and minimize denials and delays to enhance revenue.
· Cross-Departmental Coordination: Partner with clinical leadership to ensure administrative operations align with patient care goals, identifying opportunities to enhance service delivery.
· Growth and Development: Identify new opportunities for practice expansion, patient acquisition, and service improvement; lead initiatives to achieve sustainable growth.
Qualifications:
· Education: Bachelor’s degree in healthcare administration is preferred, Business Administration, or related field.
· Experience: At least 5 years of practice management experience, preferably in behavioral health or a similar healthcare setting, including Primary Care, Pediatric Care, etc…
· Proven leadership and people management skills, with experience in multi-location management
· Strong financial acumen and experience in budgeting, billing, and revenue management
· Familiarity with healthcare regulatory requirements (e.g., HIPAA, OSHA)
· Proficiency in healthcare management software, data reporting, and analysis
· Excellent communication, problem-solving, and organizational skills
