Overview
The Dispatch Supervisor plays a critical role in overseeing the day-to-day operations of the HVAC Service Team. Coordinating the schedule and dispatching service technicians to customer calls while ensuring efficient routing, maximizing technician productivity, and maintaining excellent customer service by acting as a primary communication point between clients and technicians. Monitor team performance, identify areas for improvement, and implement strategies to optimize dispatch efficiency within the company.
Key Responsibilities:
- Efficiently schedule and dispatch HVAC service technicians based on customer needs, technician expertise, location, and urgency.
- Utilize dispatching software to assign jobs and track technician progress in real-time.
- Monitor technician availability and optimize routes to maximize efficiency.
Customer Service:
- Receive incoming customer calls, assess service needs, and schedule appointments.
- Communicate clearly with customers regarding appointment times, technician arrival updates, and any service changes.
- Address customer concerns and resolve issues promptly.
Team Leadership:
- Supervise and train customer service and dispatch team members on company policies, dispatch procedures, and customer service standards.
- Monitor team performance and provide feedback to ensure quality dispatching.
- Delegate tasks and responsibilities to team members based on workload and skillset.
Administrative Tasks:
- Maintain accurate records of service calls, customer information, and technician schedules.
- Generate reports on dispatch performance metrics, including response times and technician productivity.
- Assist with billing and invoicing related to service calls
Required Skills:
- Excellent communication and interpersonal skills to interact effectively with customers and technicians
- Strong organizational and time management abilities to prioritize tasks and manage a busy dispatch schedule
