JOB SUMMARY:
Provide administrative support to Division 45 Manager, Division 45 Estimators and Division 45 Project Managers.

DUTIES:
Sales/Business Development Support

  • Provide sales/business development support to division 45 Manager.
  • Order and maintain marketing materials for potential customers.
  • Prepare job write-ups.
  • Prepare bid documents.
  • Prepare quote letters.
  • Coordinate annual customer golf outing.

Operational Support

  • Communicate with customers regarding delinquent accounts receivable for division 45 jobs.
  • Maintain Extra Work Order logs.
  • Process rental agreements.
  • Distribute contracts for review and execution.
  • Coordinate Foremen meetings.
  • Coordinate off-site meetings.
  • Scan and print drawings.

Field Support

  • Process trucking permits for division 45 and division 35.
  • Coordinate trucking requests.
  • Prepare per diem and check requests for field staff.
  • Assist with obtaining materials quotes.
  • Assist field with ordering materials.
  • Maintain packing slips from yard.

Safety Support

  • Coordinate annual drug testing for field staff.
  • Send drug test cards to customers.
  • Set up OSHA 30 training for field foremen.
  • Maintain safety certificates.
  • Update safety training and log for division 45.

Weekly

  • Prepare weekly division meeting report.
  • Review division 45 timesheets and turn into payroll department.

Monthly

  • Process division 45 Visa spreadsheets and receipts.

Miscellaneous

  • Function as primary back-up for Dispatch.
  • Coordinate after holiday party.

EXPERIENCE:
  • Minimum of high school diploma. Experience with industrial construction and/or rigging is preferred, but not required.
  • Strong computer skills including knowledge of Microsoft Office.
  • Ability to learn and effectively use office technologies.
QUALITATIVE AND OTHER ATTRIBUTES REQUIRED:
  • Effective time management skills.
  • Good interpersonal skills.
  • Professional communication skills.
  • Multi-tasking skills.
  • Detailed oriented.
