Our client, a leading financial services company, is seeking a temporary Executive Assistant / Office Manager for their Stamford, CT office. Responsibilities:
- Provide executive support to senior leaders, including managing schedules, coordinating travel, and handling expense reports.
- Oversee day-to-day office management functions, ensuring smooth operations and maintaining a productive work environment.
- Organize meetings, prepare presentations, and assist in the coordination of events or conferences.
- Manage confidential and sensitive information with discretion and professionalism.
- Prioritize and manage multiple tasks and projects simultaneously in a fast-paced environment.
- Act as a liaison between the executive team and internal/external stakeholders.
- Handle office supplies management, vendor relationships, and oversee facility maintenance as needed.
- Ensure the office environment remains organized, clean, and efficient at all times.
- Support the onboarding process for new hires, including setting up workstations, IT equipment, and office access.
- Manage office budgets and assist with expense tracking for office-related costs.
Qualifications:
- Bachelor’s Degree is highly preferred.
- Minimum of 7 years of previous experience in an executive assistant or office management role, ideally in financial services, supporting a legal or compliance team.
- Solid understanding of financial services terminology and operations.
- Proven experience managing heavy schedules, travel, and expense reports.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Exceptional organizational, multitasking, follow-through, and attention to detail.
- Strong written and verbal communication skills.
- Ability to handle confidential information with discretion.
- Highly adaptable and able to thrive in a high-pressure, fast-paced environment.
- Previous experience managing office logistics, including supplies, vendor coordination, and space management.
