Job Summary:
We are seeking a detail-oriented and proactive Bilingual Office Manager to oversee administrative operations and support HR and safety functions within our Agriculture Department. This role will play a pivotal part in maintaining smooth office operations, managing day-to-day HR processes, and ensuring safety protocols are followed across the organization. The ideal candidate will have experience in office management, a strong understanding of agricultural safety standards, and proficiency in both English and Spanish.
Key Responsibilities:
Office Management:
· Oversee day-to-day operations of the office, ensuring efficiency and organization.
· Manage office supplies, equipment, and maintain inventory.
Payroll:
· Oversee divisional payroll processes, ensuring alignment with corporate directives.
· Collate, review, and submit timecards to the payroll department.
· Address any discrepancies or issues related to payroll processing.
Accounts Payable:
· Oversee the invoice submission process, ensuring all invoices have the necessary approvals, Purchase Order (PO) number, and external phase code, and are initialed by the buyer.
Harvest Documentation:
· Organize, digitize, and maintain all work orders and weigh tags sorted by client and pick.
· Manage the "Harvest Results Summary" spreadsheet and/or AgCode.
· Communicate with clients regarding any questions or issues related to harvest.
Transportation Permits:
· Work with corporations to ensure heavy haul and motor carrier permit applications and renewals are on schedule and include the correct vehicles, trailers, and employees.
· Manage and maintain an up-to-date list detailing which employee is responsible for hauling specific items, including the type of truck and trailer used.
Strategic Administrative Support:
· Spearhead key business correspondences and presentations.
· Organize high-level meetings, travel, and events for senior management.
· Ensure timely reporting and communication between local and corporate offices.
Human Resources:
· Assist in recruitment efforts by posting job openings, reviewing resumes, and scheduling interviews.
· Support onboarding of new hires and maintain accurate employee records.
· Address employee inquiries and help resolve HR-related issues in a timely manner.
· Ensure compliance with labor laws and regulations specific to the agriculture industry.
· Act as the primary HR liaison for local teams, handling advanced HR tasks and documentation.
· Oversee the hiring and termination processes in conjunction with the HR department.
· Work closely with corporate HR to administer and manage benefits rollout.
· Be the point of contact for payroll checks, insurance, and benefits inquiries.
Safety & Compliance:
· Oversee the implementation and adherence to safety protocols within the Agriculture Department.
· Coordinate safety training programs and ensure all employees are compliant with safety standards.
· Maintain OSHA and other safety documentation for regulatory compliance.
· Perform regular safety audits and inspections to identify areas of improvement.
· Serve as the point of contact for safety-related concerns, and coordinate safety meetings.
· Assist corporate in developing global safety programs.
· Assist the Safety Manager in managing the event calendar, ensuring all safety meetings, drills, and training are scheduled and attendance documented.
· Assist corporate HR in managing work comp claims and paperwork within the division and liaise with corporate HR to see all claims through to conclusion.
Job Requirements:
Skills:
· Strong leadership capabilities.
· Minimum of 2 years of experience in office management or administrative role.
· Excellent verbal and written communication skills.
· Must have exceptional customer service skills and the ability to work well with all levels of the organization.
· Responsive, flexible, open to learning new things, and eager to commit to a team environment.
· Proficient in Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
· Required to be bilingual in Spanish.
Knowledge:
· Excellent attention to detail, organization, and ability to manage multiple priorities.
· Proficient in Microsoft Office and Google Suite.
· Experience in AgCode system preferred.
Physical Requirements:
· Ability to travel by automobile and into vineyards.
· Ability to sit at and operate a computer for at least two-hour intervals.
· Physically able to lift and carry up to 50 lbs.
· Able to work a flexible schedule as needed.
Other Requirements:
· Proven ability to maintain a fun, positive outlook, and humor in all relationships and activities.
· Must possess a valid driver’s license, be insured by the company, and be able to operate a motor vehicle safely.
