Role Overview:
We are looking for a versatile Operations and Administrative Specialist who will play a key role in supporting our team across various operational areas. This individual will handle key tasks in recruiting, office management, vendor management, executive support, and technical writing. The role requires someone who can maintain a high level of organization and productivity in a dynamic, fast-paced environment. You will play a crucial role in the company’s growth and efficiency by supporting sales, recruiting, and operational initiatives.
Responsibilities:
1. Recruiting (Primary Focus)
- Use LinkedIn Recruiter to target top talent, specifically from companies such as Anduril and Palantir
- Write custom outbound messages to potential candidates, schedule interviews, and vet candidates for cultural and technical fit.
- Conduct screening interviews and coordinate first-round interviews with leadership.
2. Executive Assistance
- Manage the company leadership's email and schedule, handling communications that do not require direct input from leadership.
- Organize meetings, ensuring that all stakeholders are aligned on scheduling.
3. Vendor Management
- Process invoices using Ramp and ensure all bills are verified and paid on time.
- Work closely with vendors and customers to resolve any discrepancies or issues.
4. Office Management
- Plan and coordinate team events and activities to foster a positive work environment.
- Manage lunch orders and ensure the office is stocked with necessary supplies.
5. Technical Writing
- Assist in writing technical documents for internal and external use.
- Write and customize policies and procedures for Atomus and its customers.
- Collaborate on marketing content, including case studies, guides, and whitepapers.
Required Qualifications and Experience:
- 2 years of experience in a similar operational, recruiting, or administrative role.
- Strong organizational skills with the ability to manage multiple responsibilities simultaneously.
- Experience in recruiting or talent acquisition, preferably in technology or defense sectors.
- Familiarity with tools like LinkedIn Recruiter
- Excellent written and verbal communication skills, including experience with technical writing.
- Ability to work independently and within a startup culture.
