Position Purpose:
Under the direct supervision of the Director of Family Engagement & Assistance, provides a wide variety of complex and highly confidential administrative and secretarial support. In addition, completing registration processes for incoming students according to school committee policy, greeting and directing visitors with the utmost of professionalism, responding to inquiries from the public, city officials, parents, students, by providing requested information and/or referral to other parties, and providing support for central administration staff and directly assist the department Director.
Essential Functions:
- Performs all duties in the Senior Clerk Typist's Job Description at a greater degree.
- Highest degree of confidentiality through all aspects of clerical position.
- Welcome new families and visitors in a warm and friendly manner and answer any questions visitors have in a calm, courteous and professional manner.
- Manage and accurately process online registrations throughout the year.
- Assist with the determination, management of, and transportation for McKinney Vento, Foster Care, etc.
- Maintain communication with the Special Education Department in regards to IEP's.
- Communicate with all schools, inside and outside of the district, effectively and professionally to ensure a successful registration.
- Composes and proofreads documents (e.g., disenrollment, residency reviews, student records requests, transportation requests, etc.) for, but not limited to the department Director and Assistant Director for requesting or providing information, confirming events, meetings, etc.
- Compiles any number of different types of statistics i.e. attendance reports, enrollment numbers, etc.
- Assists with grant organization and fund use.
- Checks any bills against purchase orders.
- Maintains a schedule of appointments and makes arrangements for meetings, etc.
- Monitors calendar for space usage for Welcome Center conference room.
- Maintains the organization of the Welcome Center.
- Maintains a regular filing system which includes confidential files, working papers and the like and process incoming correspondence as instructed.
- Serves as liaison with outside organizations related to department activities and work.
Additional Duties:
Performs other related duties, as assigned, for the purpose of ensuring the efficient and effective functioning of the department.
Knowledge, Skills and Abilities:
- Bi-lingual preferred. Spanish, Arabic, or Haitian-Creole preferred.
- Ability to describe problems and work orally or in writing to supervisor as required.
- Ability to establish and maintain cooperative working relationships with others contacted in the course of work.
- Excellent interpersonal skills with a diverse group of individuals required.
- Comfortable multitasking and prioritizing tasks without guidance.
- Ability to carry out instructions furnished in written or oral form.
- Ability to add, subtract, multiply and divide, and perform arithmetic operations as needed for position.
- Ability to understand, apply and use personal computers and software applications (e.g., Munis, Word, Excel, PowerPoint, the Internet, Outlook, electronic mail).
- Ability to problem solve job-related issues.
- Ability to process paperwork accurately according to standardized procedures.
- Ability to maintain confidentiality of information regarding students, employees and others.
- Organizational and time management skills.
- Knowledge of office management procedures.
- Knowledge of laws and regulations, District policies and procedures, principles, guidelines, and best practices related to department (e.g., Pupil Services, Human Resources, Facilities and Business).
Physical and Mental Demands, Work Hazards
- Works in standard office and school building environments.
Qualification Profile:
Hence providing the required skill and knowledge for successful performance would be qualifying. Typical qualifications would be equivalent to:
- Graduation from high school.
- College level course work in business, word processing, and office procedures preferred.
- Associates or Bachelor's degree preferred.
- Successful experience with office management in related area preferred.
