Position Overview:
The Operational Closing Support Manager is responsible for managing all aspects of closing support operations, with a strong emphasis on quality control oversight, team leadership, and workflow optimization. This role requires strong leadership, extensive experience in the closing process, and a deep understanding of title and closing operation management. The ideal candidate will have a proven track record in staff management, training, process improvement, and operational oversight, with SoftPro experience being a plus.
This position may require some travel between various offices or industry events (approximately 20% of the time) to support operations, attend meetings, or strengthen professional relationships.
Key Responsibilities:
- Lead and manage quality control measures, including responsibility for the quality control of files and ensuring transaction accuracy and consistency across all closing teams.
- Oversee and manage closing support operations, ensuring smooth, timely, and efficient closing transactions.
- Lead and develop escrow processing teams, including hiring, training, scheduling, attendance management, and performance evaluations.
- Work closely with real estate agents, lenders, attorneys, clients and staff to resolve closing and title issues.
- Enhance operational efficiency by developing and implementing policies and procedures to improve closing workflows and maintain application proficiency.
- Work closely with Organizational Support Directors to ensure adequate operational support needs are being met across all closing teams and locations.
- Conduct regular meetings with closing teams and senior leadership to discuss goals, performance, and process improvements.
- Represent ATG at industry events and networking opportunities, strengthening relationships with key stakeholders.
- Travel for office visits, training, industry events, or operational support.
Typical Workday:
A typical day for the Operational Closing Support Manager includes:
- Overseeing quality control procedures and ensuring accuracy in all closings.
- Managing staff and conducting training sessions and working on process improvements.
- Reviewing emails, reports, and transaction priorities for the day.
- Leading team meetings to discuss pending closings, address challenges, and provide operational guidance.
- Managing closing support operations, ensuring smooth and timely transactions.
- Meeting with real estate agents, lenders, and clients to resolve closing issues and ensure customer satisfaction.
- Reviewing operational reporting and tracking performance.
- Collaborating with Organizational Support Directors to address operational needs and ensure seamless support for the closing teams.
- Traveling as needed to various ATG offices or industry events to support operations.
- Wrapping up the day by reviewing outstanding tasks and setting priorities for the next business day.
Regular Meetings & Leadership Responsibilities:
- Performance evaluations and ongoing training for closing support staff.
- Recurring team meetings to manage workflow and address challenges.
- Operational meetings with closing support teams and senior leadership to discuss operational improvements and business growth.
- Collaboration with Organizational Support Directors to ensure operational needs are met.
- Industry networking events to foster business relationships and market ATG’s services.
Qualifications & Skills:
- Extensive experience in title and closing operations with a strong understanding of industry best practices.
- Proven leadership and management experience, including training and developing high-performing teams.
- Strong ability to analyze and improve operational processes and lead effective teams.
- Excellent communication skills, capable of managing operational and closer relationships and resolving disputes professionally.
- Ability to work effectively with real estate professionals, mortgage lenders, underwriters, and attorneys.
- SoftPro experience is a plus, but not required.
- Highly organized, detail-oriented, and proactive in problem-solving.
- Willingness to travel for office visits, training, and industry events.
Work Conditions & Physical Requirements:
- This is a full-time, in-office position based in Little Rock, AR.
- Must be able to remain in a stationary position (sitting or standing) for extended periods.
- Ability to operate a computer, telephone, and standard office equipment on a daily basis.
- Occasional travel required (up to 20%) for office visits, training, and industry events.
- Occasional work beyond normal business hours required.
- May occasionally need to lift and carry file boxes or office supplies up to 20 lbs.
