The Front Desk Closing Receptionist is responsible for greeting clients, answering customer calls, setting up files, and performing various receptionist tasks. This role also provides administrative support to the Executive Director and Co-Managing Partner, manages closing calendars, and creates personalized welcome content. The ideal candidate will have a pleasant and professional disposition, excellent customer service skills, and the ability to handle a variety of tasks in a fast-paced environment.
This role is fully in-office and requires the employee to be present at the front desk, greeting customers five days a week. Remote work is not an option for this position.
3 Key Performance Indicators:
1. Welcomes clients into the office, seats them in the conference room, creates the personalized welcoming content, maintains a professional desk environment.
2. Timely answers the phone, directs the calls to the appropriate person, with a positive, helpful attitude.
3. Provides timely and accurate administrative support to the Managing Partner and Executive Director as well as helping other staff members with their requests.
Duties and responsibilities
Core duties and responsibilities include the following. Other duties may be assigned.
- Greet and assist clients, answering phone calls and directing them to the appropriate staff member.
- Manage the front desk by maintaining a welcoming atmosphere and ensuring all reception area needs are met.
- Set up and maintain client files.
- Support the Executive Director and Managing Partner with administrative tasks, including managing calendars, scheduling meetings, and preparing documents.
- Create personalized welcome materials for clients prior to meetings or closings.
- Assist in managing the office’s closing calendar and coordinating with various departments to ensure smooth operations.
- Perform general office tasks such as filing, scanning, and distributing documents as needed.
- Handle incoming and outgoing mail and deliveries and distribute to staff accordingly.
- Provide notary services, as needed.
- Assist with maintaining the office’s hospitality services, such as preparing welcome signs and keeping the snack basket stocked for clients.
- Support additional office projects as assigned by management.

Qualifications
To perform the job successfully, an individual should demonstrate the following competencies:
Customer Service Skills: Exceptional communication and interpersonal skills, friendly demeanor, and ability to manage demanding clients with a positive attitude.
Organization: Strong organizational skills with attention to detail, ability to multitask, and manage time efficiently in a very busy office environment.
Computer Skills: Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and familiarity with office management software (experience with SoftPro Select is a plus).
Notary Public: Notary certification is preferred, but not required.
Team Player: Must possess the drive and desire to work with co-workers in a team environment to ensure that all company benchmarks are being met. Respect of one another is required of each team member.
Education and/or Experience: Highschool diploma required. Some college preferred or equivalent combination of education and relevant industry experience.
Working conditions
Office environment, requiring frequent sitting, answering phones, and managing client interactions.
Occasional lifting of files or office supplies (up to 10 pounds).
Sedentary work, including extended periods working on a computer.
A background check and drug screening are required before employment due to client requirements.
