The Opportunity

The Front Desk Administrator is the first point of contact for Auburn Mechanical visitors and callers and is responsible for daily office operations by providing administrative support and resources. The ideal candidate should be dependable, have excellent oral and written communication skills, have a passion for customer service, and be able to organize daily work using tools like MS Excel, MS Outlook and general office equipment. This position requires onsite work Monday - Friday from 7:30am to 4:30pm.
What You'll Be Doing
- Answering phone calls in a professional manner and connecting callers to intended staff, asking qualifying questions when necessary
- Providing a welcoming atmosphere for guests and employees coming into the building, including maintaining the appearance of the lobby and conference rooms
- Managing meeting spaces to include assisting with meeting conflicts and room readiness
- Coordinating lunches and catering for meetings and office events as well as setting up conference rooms.
- Managing incoming and outgoing mail to include: making the daily post office run (mileage reimbursable), opening,scanning, and distributing mail to the proper recipients
- Preparing outgoing and receiving incoming packages including notifying recipients as needed
- Monitoring, ordering and restocking office, breakroom, and janitorial supplies
- Scheduling maintenance and repairs on office equipment as needed
- Acting as point of contact for the janitorial service and for general facility issues
- Providing administrative and project support to Human Resources, Accounting, and Marketing as needed
- Basic daily cleaning and restocking of break room and work room
- Running off-site errands as needed (mileage reimbursable)
- Assisting with office events and projects

- Strong interpersonal skills and ability to remain calm during stressful moments
- Demonstrated experience as a receptionist, administrative or office assistant
- Knowledge of office management systems and procedures
- Proficiency with a multi-line phone system and ability to triage phone calls
- Working knowledge of common office equipment such as copiers/printers, fax
- Proficiency in MS Office products (Outlook, Teams, Word, Excel)
- Excellent time management and organizational skills and ability to prioritize work when tasks compete for time
- Attention to detail and ability to problem solve independently
- Excellent written and verbal skills
- Ability to maintain confidentiality and use discretion
Education / Experience
- High school diploma or equivalent GED plus 1-3 years of related experience or equivalent combination of education and experience
Computer Skills
- Proficiency with Microsoft Office Teams, Outlook, Excel, and Word required
Certificates and Licenses
- Valid driver's license; proof of insurance will need to be presented upon offer

This position is based in our corporate headquarters in Auburn, Washington. The position is in a standard office environment with desktop and general office business equipment and frequent telephone calls. Noise level is moderate.
