AVX is seeking a detail-oriented and highly organized Administrative Assistant to support daily operations in our Birmingham office. This role is essential in coordinating purchasing, tracking shipments, managing vendor relationships, and assisting project managers with administrative tasks. The ideal candidate will have strong organizational skills, the ability to multitask, and a proactive approach to problem-solving.
Key Responsibilities:
Purchasing & Product Ordering
- Assist with ordering A/V products, equipment, and supplies for ongoing projects.
- Coordinate with vendors and manufacturers to ensure timely deliveries.
- Track shipments, manage purchase orders, and provide status updates to project teams.
Vendor & Manufacturer Coordination
- Communicate with manufacturers and suppliers to ensure product availability and resolve any order discrepancies.
- Maintain relationships with key vendors and stay updated on industry pricing, availability, and lead times.
Project & Office Support
- Assist Project Managers with administrative tasks, including tracking project materials, organizing documentation, and maintaining schedules.
- Handle general office tasks such as data entry, scheduling meetings, and maintaining records.
- Manage office supplies and assist with day-to-day administrative operations.
Logistics & Shipment Tracking
- Monitor shipments and delivery schedules, ensuring products arrive on time for projects.
- Coordinate with warehouse or receiving teams to confirm deliveries and resolve any shipping issues.
Qualifications & Skills:
- Previous experience in administrative support, purchasing, or logistics preferred.
- Strong organizational and multitasking skills with attention to detail.
- Excellent communication and coordination abilities.
- Proficiency in Microsoft Office Suite (Excel, Outlook, Word) and other administrative tools.
- Ability to work independently and manage multiple priorities in a fast-paced environment.
- Experience working in the A/V or construction industry is a plus.
Job Type: Full-time
Pay: $18.00 - $20.00 per hour
