We are seeking a highly organized and proactive Executive Assistant and Office Manager to support our CEO in a fast-paced environment. The office manager is responsible for supporting the CEO and for overseeing the day-to-day administrative functions, including managing office supplies, maintaining filing systems, coordinating communication, handling basic accounting tasks, data analytics reporting, and providing support to staff, all while ensuring the office runs smoothly and efficiently.
Key responsibilities may include:
Administrative tasks:
Managing office supplies and equipment, ordering replacements as needed
Maintaining filing systems, both physical and electronic
Answering phone calls and directing inquiries
Coordinating travel for executive team and board members
Coordinating mail and package delivery
Scheduling appointments and meetings
Preparing and distributing meeting agendas and minutes
Financial management:
Processing invoices and expense reports
Maintaining basic accounting records
Monitoring office budget and identifying cost-saving measures
Human resources support:
Assisting with new employee onboarding and training
Maintaining employee records and files
Time card reconciliation and submittals Coordinating staff events and team building activities
Facility management:
Maintaining office cleanliness and tidiness
Coordinating maintenance and repairs of office equipment
Communication and coordination:
Communicating company policies and updates to staff
Coordinating inter-departmental communication
Managing company calendar and scheduling
