About the Role:
As the first face of the Auditor's Office, you will play a crucial role in shaping the initial impression of our department. You will be responsible for delivering a professional and qualified first impression to all customers and visitors, ensuring they feel welcomed and assisted. Your work will directly benefit visitors, callers, and employees of the Auditor's Office by setting a positive and professional tone.
What You'll Do Every Day:
- Open and close the office promptly each workday.
- Receive and direct visitors with a welcoming and friendly demeanor.
- Answer a multi-line telephone system with professionalism and a helpful attitude.
- Screen visitor and telephone inquiries and efficiently route them to the proper responsible party.
- Sort incoming mail and handle deliveries.
- Maintain the reception area to ensure a professional and inviting appearance.
- Perform general office tasks such as filing, data entry, and typing correspondence.
- Be responsible for logging checks that arrive at the front desk and ensuring their delivery to the Treasurer's Office within 24-48 hours.
- Take ownership of ordering and maintaining office supplies for the Executive Division and Systems & Procedures Department, as well as maintaining/distributing supplies for the entire Office.
- Keep updated filing of checks, purchase requests, and vendor information.
- Provide accurate information related to the Auditor's Office and Harris County services.
- Occasionally coordinate open records requests from the public.
Essential Requirements:
- High School Diploma.
- 3 years of experience in a professional business environment.
- Recent experience working with a multi-line telephone system with overhead paging capability.
- Exceptional interpersonal skills - you must genuinely enjoy working with people.
- Excellent communication, organizational, and multi-tasking skills are essential.
- Proficiency in Microsoft Office.
- Good problem-solving skills with the ability to adapt to change productively.
- Ability to provide exceptional customer service to both external public and internal departments and staff.
- Ability to perform duties with minimal supervision and be self-directed.
- Maintains a polished and professional demeanor appropriate for a front office reception setting."
