Baybay!”), Colleagues and Team have a most important goal… to on-board a talented Operations and Personnel Manager. The management (non-clinical) responsibilities of this busy, popular practice are more than what one supercharged dental specialist can provide! Therefore, Dr. Obebe and staff are eagerly in search of a talented Operations and Personnel Manager to join the practice and assume the many tasks that run “the business side” of this practice. Our Operations Manager will represent the values and integrate the directives expressed by Dr. Obebe. We have an amazing support team of 6 clinical staff and 3 administrative staff. It’s the day-to-day support provided by our new Manager that will support our consistent performance and focus to do what we do best… Taking care of patients and families! Our manager will manage these areas:

Personnel responsibilities: Overseeing staff performance and coaching, interviewing when we have an opening, supporting new hire orientation, staff handbook compliance, organizing team meetings, running routine meetings, coordinating time off requests. Meeting with department leaders to collaborate on issues impacting staff and facilitating solutions that work well for everyone. Keeping your finger on the pulse of our positive, upbeat, “can do”, ready to serve business culture and knowing how to adjust to sustain/ restore the positive energy is high priority.

Reports and projects: Tracking daily and monthly goals, completing monthly key practice indicators (KPIs) to compare with goals, analyze areas upon which to focus. Always a project “in the works”, plan on project management facilitation and overseeing marketing projects.

Operations/Facility Management: Overseeing our daily flow, facility expansion efforts, being “on point” to coordinate repairs, upgrades or replacement to technology and equipment. Meeting monthly with Dr. Obebe to review progress towards monthly and annual goals.

Dental Administrative Processes: To deliver the most attentive patient services, our staff are cross-trained and ready to make the patient experience timely, positive, and seamless. Our Operations Manager, working closely with our administrative staff members to keep an eye on our robust revenue cycle from productive scheduling, timely collection and AR processes and be cross trained to fill-in, when needed, for any of our front office administrative team members who handle each step of patient check-in, check-out, collecting payments, registration, scheduling, presenting treatment plans, and phones.

Dental experience is nice, but NOT REQUIRED to apply!

A qualified Operations Manager candidate does not need to have prior medical or dental practice management experience to apply (even though that work history is helpful to the learning curve of this position). The following list of criteria is imperative to train successfully into this role:

1. Initiative to dive-right-in, observe, study, ask questions, apply answers, “YouTube” for information, and accelerate your industry training which, typically, takes about 6 weeks before it all “clicks”.

2. Minimum 5 years of personnel direct-report supervisory experience within the context of “small business”

3. SHRM certification is ideal, but not required

4. BS, BA, or MBA from accredited university ideally in Business, Healthcare Administration, Communications or related major. Candidates who do not possess a bachelor’s but whose work experience has provided excellence in education and experience will be considered

5. Excellent written and verbal communication skills. One must be able to sensitively and tactfully have the periodic “tougher conversations” intended to correct actions and gain positive results while minimizing or preventing unnecessarily hurt feelings from staff members

6. Technical aptitude to quickly learn software and lead initiatives to improve internal processes and communications

7. Quick to build rapport with parents of our patients and skillful at de-escalating the rare, but periodic grievance

8. Demonstrate/model for staff: professional conduct, superb communication, excellent tracking of details and follow up, and passion for service

9. Preference to juggle many tasks and varied responsibilities with the pleasure of seeing how your efforts directly impact the success of the business, your co-workers, and your professional growth

10. Stable work history

11. Calm when under pressure, approachable temperament with the ability to continue seeing “the big picture” and remain unfrazzled when life is “dishing it out from every direction.”

12. A “head for numbers” with experience in routine payroll/accounting processes, evaluating metrics, and calculating and applying percentages.
