What are the responsibilities and job description for the Program Coordinator position at Augustana University?
Augustana University invites applications for a Program Coordinator. This part-time position will provide administrative support and assist management to the existing and emerging programs within the School of Business. The individual is responsible for coordinating, handling and overseeing the day-to-day activities related to the academic unit and program operations (including policies, procedures, and processes) under the supervision of the School of Business Dean. Hours for this position are typically Monday through Thursday, 10:00 a.m. to 2:00 p.m.
Duties include, but are not limited to:
- Assist the School of Business Dean in the day-to-day operations of the unit.
- Serves as a liaison between the School of Business and other campus entities/departments.
- Collaborate with the Dean to document faculty workloads and track budgets.
- Oversee all School of Business faculty and student processes, policies, and procedures.
- Update and maintain official records and documents, including Program Handbooks.
- Ensure all timelines are met and that complete and accurate records are kept.
- Gather all undergraduate and graduate syllabi at the beginning of each term for the Academic Affairs Office and assist in auditing for consistency across the school.
- Support the work of the Assessment/Accreditation and Field Placement Coordinators as needed. Create, manage, maintain and analyze the data retrieval and databases for the Program Coordinators/reporting needs.
- In consultation with the Registrar’s Office, conduct initial evaluations and reviews of potential transfer credits for the School of Business programs.
- Assist and support the School of Business Dean and Program Directors with scheduling.
- Coordinate and develop course semester schedules for all business programs and courses.
- Assist with maintaining unit and program operating and grant budgets.
- Compose correspondence that requires extensive knowledge and understanding of programs, and institutional processes and procedures for the School of Business.
- Use existing and new academic resources and processes to ensure graduate and undergraduate student needs are met in terms of program/course requirements, completed degree audits, etc.
- Assist and support the Dean and Program Directors in the hiring and monitoring of adjunct faculty, professional support staff, along with student work study needs.
- Assist with onboarding new full-time and part-time faculty.
- Assist the school and HR in scheduling interviews including setting up Zoom meetings, room reservations, scheduling the search committee and other participants, and obtaining feedback from participating individuals.
- Plan, organize, and execute events such as seminars, workshops, student events and information sessions related to the School of Business programs.
- Provide professional, friendly and efficient service to students, alumni, faculty, staff and other professionals to result in optimum service and relationships with the various constituencies.
- Address student inquiries, concerns and requests in a timely and professional manner.
- Assist Program Directors with recruiting and retention efforts, effectively managing all student communication.
- Use existing and new academic resources and processes to ensure graduate student needs are met in terms of program/course requirements, completed degree audits, etc.
- Advise students regarding Plans of Study, program questions, students in academic difficulty (provisional admits, probation, course repeats, etc.), and program requirements, etc.
- Assist in tracking student internships; maintaining and enhancing relationships with internship companies; maintaining and enhancing alumni relations; representing the program in the community.
Qualifications:
- Bachelor’s degree or equivalent experience in business or a related field.
- Strong academic proficiency and character in higher education/university level.
- Office administration skills and experience required; to include forecasting, planning, organizing, reporting, communicating, and evaluating.
- Experience in making decisions and judgments on sensitive, confidential issues.
- Proficient in Microsoft Office/strong computer skills.
- Flexibility to work evenings and weekends as required by the programming schedule.
