Position Summary:
The Patient Service Rep is responsible for providing excellent front-desk support, including greeting patients, verifying demographics and insurance at every visit, answering phones, scheduling appointments, sending faxes, and relaying messages to ensure efficient office operations and exceptional patient service.
Department Summary:
Aultman Orrville Dunlap Family Physicians is a family practice that specializes in acute and chronic care for pediatrics and geriatrics, preventative care, and minor surgeries. Our practice has offices located in Apple Creek, Dalton, Doylestown, and Orrville with 9 physicians and 12 Advanced Practitioners. We are dedicated to providing compassionate, comprehensive care to our patients and community at every stage of life.
Qualifications:
- High School Diploma or equivalent
- General computer skills and knowledge
- Must have basic typing skills.
Skills:
- Comfortable communicating via in-person or via the phone
- Detail oriented
- Adaptability to changing work environment or needs
Responsibilities & Expectations:
- Greets patients in a pleasant and professional manner
- Verifies demographics and insurance over the telephone or in person
- Verifies and updates demographics and insurance at every appointment
- Must update HIPAA forms and have patients sign all forms per office policy
- Must collect copays from patients. (see policy on money handling)
- Must verify correct amount of cash in drawer upon opening and close out cash drawer in evening
- Must correctly schedule appointments at appropriate site.
- Must notify appropriate staff when supplies are low for recording purposes.
- Must run fee tickets, day sheets, and SOF forms.
- Monitor the waiting room for supplies and neatness.
- Make follow-up appointments and assist with scheduling urgent referrals
- May need to post charges and co-pays
- May be asked to make patient appointment reminders
- Must answer phones in a timely and professional manner
- Must relay messages to patients in a timely manner
- Must chart accurately in patient’s EHR
- Other duties as assigned by Practice Manager and/or Leads

Working Conditions:

- Variable start and end times for shifts- between 6:30am-6:00pm
- Typically, 4-day work weeks with 8-10 hour days
- Subject to frequent interruptions and changes in priority of duties throughout the day
- Cross training in all areas of the department is required.
- Will spend majority of shift in front of a computer terminal entering data, using telephones, faxes, copiers, and printers.
