Purpose
The Design and Construction Procurement Manager is responsible for leading all procurement activities in partnership with assigned Project Managers. This role focuses on managing relationships with 3rd Party Procurement Companies, ensuring that schedules, budgets, and purchasing requirements are met. The Procurement Manager will identify risks, resolve issues, and represent Auro Hotels in both new construction projects and renovations of existing properties. This position requires close collaboration with owners, architects, designers, brand representatives, general contractors, subcontractors, and vendors.
General Responsibilities
- Possess in-depth knowledge of procurement industry practices, with a focus on hospitality projects.
- Effectively communicate with internal and external clients, as well as procurement vendors, to gather and share procurement information.
- Meet tight deadlines while maintaining accuracy and quality in all deliverables.
- Stay informed on current procurement coordination techniques and industry best practices.
- Exhibit strong math skills and the ability to manage multiple assignments simultaneously.
- Lead, mentor, and oversee a team of Procurement Specialists and Coordinators, aligning team efforts with project goals, timelines, and budgets.
- Maintain high attention to detail and organizational effectiveness.
Procurement/Purchasing Responsibilities
- Demonstrate expertise in direct purchasing techniques, 3rd party procurement practices, and industry standards.
- Manage owner-furnished Furniture, Fixtures, and Equipment (FF&E), including samples, cut sheets, pricing sheets, and budgets.
- Oversee owner-purchased construction items installed by contractors or subcontractors.
- Track and manage procurement-related action items and issues using project management software.
- Capture and issue meeting minutes, action items, and responses for procurement-related meetings.
- Support the flow and approval processes for procurement and purchasing reviews.
- Manage 3rd Party Procurement submittals, transmittals, and correspondence.
- Input and update procurement budgets in project management software based on inputs from vendors, procurement companies, and project managers.
- Generate and manage procurement reports, including cost forecasts, purchasing schedules, and product quality updates.
- Execute, maintain, and close out procurement contracts, purchase orders, and change orders.
Field Activities Support
- Generate procurement-related reports (daily, weekly, and monthly) for internal and external stakeholders.
- Maintain procurement and purchasing schedules using project management and scheduling tools.
- Organize and manage project-specific procurement checklists and punch lists.
Qualifications
- Bachelor’s degree in Supply Chain Management, Construction Management, or a related field.
- Minimum of 5 years of experience in procurement, preferably within the hospitality or construction industry.
- Proficiency in project management software and procurement tools.
- Excellent communication, organizational, and leadership skills.
- Ability to manage high-pressure situations and prioritize multiple tasks effectively.
