Project Coordinator


The Project Coordinator is responsible for providing administrative support for assigned construction projects under the direct supervision of the Project Manager and Compliance Manager. Duties include data entry into Viewpoint, maintaining insurance certificates, coordinating meetings and conferences, obtaining supplies, and filing. The position involves interfacing with the entire project team, as well as clients, designers, and subcontractors. Strong organizational skills are required to plan and prioritize a diversified workload.


Salary $ 45,000.00-$75,000.00

Essential Functions:

  • Maintain, organize, and control various logs including contracts, insurance, RFIs, Submittals, and Change/Purchase Orders, ensuring accurate data entry into the Viewpoint system.
  • Follow up diligently on open items within logs to track progress and ensure timely resolutions.
  • Collect and verify all necessary documentation such as Safety files, insurance certificates, and worker’s compensation records prior to project commencement.
  • Assist in managing correspondence, including drafting responses and distributing communications to owners and subcontractors as needed.
  • Support field offices by coordinating material and supplies ordering for trailers and project sites.
  • Handle confidential information professionally and explain policies to external entities as required.
  • Contribute effectively to special projects, demonstrating both independent initiative and collaborative teamwork.
  • Assist with monthly reporting to ownership and Aurora, ensuring deliverables are completed accurately and on time.
  • Support the accounting department by ensuring subcontractor paperwork is up-to-date for timely payments, and assist with document proofreading and formatting.
  • Track and assist with compiling comprehensive closeout documentation packages, including as-builts, warranties, and owner’s manuals, to ensure project completion and client satisfaction.

Day in the Life:

  • Arrive at the office at 8:00 AM.
  • Grab a coffee and settle at the desk to begin planning the day
  • Review emails for any urgent messages or updates from team members or clients.
  • Organize the calendar, confirming appointments and meetings for the day.
  • Respond to any inquiries or schedule changes.
  • Organize and maintain digital filing systems for easy access to important documents.
  • Distribute meeting minutes to all participants.
  • Assist project managers with data entry and analysis for project tracking.
  • Review tasks completed during the day and update the to-do list for tomorrow.


Qualifications:

  • High school diploma.
  • Two years of administrative experience.

Preferred Education & Experience:

  • Associate degree or higher.
  • Two years of construction related experience.
  • Proficiency in Microsoft Office suite of applications

Additional Eligibility Qualifications

  • None required for this position.


Full Time, Exempt:

Monday – Friday 8-5pm

(Occasional evening and weekend work may be required as job duties demand)
