Job Description
The Assistant Director of Property Management is responsible for overall operations of properties in AHA's portfolio. Key duties include:
- Manages physical assets to ensure efficient operations and program compliance while maximizing return and meeting owner objectives.
- Ensures properties perform to adopted Property Standards.
- Supervises Portfolio Managersto ensure continuity of quality work performance is adhered to, fulfilling the missions of resident satisfaction and excellent financial performance.
- Supports on-site staff in managing properties successfully by having site specific knowledge of each assigned property and following best management practices in each of the following areas
- Economics and Demographics for each metropolitan market and specific sub-market
- Rents at subject properties and competing properties
- Individual property’s competitive strengths and weaknesses vs. competitors
- Property Financial Management including budgets, monthly financial statements, balance sheet and cash flow
- Property Physical assets Issues and long-term repair/replacement plan
- Contract Administration for physical asset repairs and Deal covenants relating to income restrictions/regulatory issues/owner expectations
- Coordinates training, coaching, and support for assigned staff, and contributes to development of department practices, policies, and procedures.
- With a sense of urgency, ensures on-site staff respond to and resolve resident concerns and complaints regarding eligibility and applications, rent, and other issues in order to foster positive resident relations and high standards of service. Responds directly to residents when an issue is escalated.
- Conducts physical inspections of property to ensure completeness and quality of work performed according to Agency guidelines.
- Consistently manages the curb appeal of each property in an appropriate manner and to the highest standards.
- Develops, plans, and implements marketing and advertising plans for the property resulting in an increased resident pool and reduction in property vacancies.
- Oversees leasing of property to meet leasing goals and objectives. Ensures applications are processed timely and appropriately.
- Maintains compliance documentation in accordance with applicable state and federal funding requirements
- Prepares accurate and timely reports to ensure the efficient management of the portfolio, monitoring portfolio performance, providing input on management plans, and making adjustments as needed to meet targeted goals/standards.
- Ensures leases, community policies/house rules, and addendums are up-to-date and legally compliant.
- Ensures that all staff are utilizing the appropriate documents in a consistent manner.
- Consistently demonstrates and holds staff accountable for adherence to the AHA Mission, Vision, and Value Statements.
- Meets on a regular and consistent basis with the Director of Property Management to communicate information and coordinate operation efforts.
- Assists in the development of goals and objectives for the Property Management Department.
- Assist in compliance monitoring for all properties in the AHA portfolio.
- Liases with Resident Services and/or Community Builder programs and activities to create cohesive and productive relationships.
- Other duties as assigned, particularly with Director of Property Management for special projects, administrative tasks, and other non-property management related work.
- 2 years post-secondary education and 5 years of property management experience. An equivalent combination of experience may also be considered.
- Experience with YARDI preferred.
- Expert knowledge of Housing Program Regulations and Compliance including knowledge of one or more of the following programs:Tax Credits, RTC, Bond Financing, Public Housing, Section 8 Housing Choice Voucher, Section 8 New Construction and Section 8 Moderate Rehabilitation.
- Expert knowledge of Fair Housing Laws
- Expert accounting and budgeting skills
- Expert knowledge of asset management
- Expert time management skills.
- Expert leasing and resident relation skills, including but not limited to the ability to diffuse escalating situations while maintaining a calm composure in aiming for a win-win solution.
- Expert knowledge of contract administration
- Strong working knowledge of computers and Microsoft Office Suite, and electronic signature programs.
- Strong working knowledge of industry software: Yardi, RENTCafé
- Ability to effectively communicate and interact with all levels of personnel and the general public.
- Demonstrated ability to lead through motivation, teamwork, and initiative.
