Aurora Mental Health & Recovery (AMHR) is seeking a full-time Facilities Assistant to play a vital role in ensuring seamless facility operations across our organization. This position involves managing schedules for Maintenance Technicians and contractors, processing invoices, maintaining key systems, and supporting day-to-day operationsall while maintaining the highest level of confidentiality. The Facilities Division encompasses safety, security, project management, purchasing, maintenance and custodial services, all focused on creating a safe, clean and welcoming environment for staff and clients.

An ideal candidate is highly organized, thrives in high-pressure settings, and has strong time management skills. They are proactive, solution-oriented, and capable of making independent decisions within their role. Administrative experience is required, while facilities experience, Excel proficiency and DeskPro knowledge would be a plus. Join us in making a difference, one room at a time!

Schedule. This position is fully onsite/in-person. The schedule is MondayFriday, 8am5pm.

Salary for this role. The starting wage is based on experience and company equity. Paid bi-weekly.

  • $18.87 - $27.32 per hour

Essential functions:

  • Schedule routine inspections and maintenance with vendors and city authorities.
  • Maintain all records and provide for licensing and as requested.
  • Receive work order requests and coordinate scheduling with maintenance techs, using online ticketing system.
  • Prepare and process purchase orders.
  • Process invoices, mileage, Maintenance Tech tracking sheets, hours, and payroll information.
  • Order parts and materials from vendors and suppliers.
  • Create and maintain a variety of facilities-related databases.
  • Coordinate and schedule outside contractors.
  • Assist with documentation, labeling, copying, printing, typing, correspondence, filing and other general office duties, on a regular basis.
  • Promote a safety-oriented culture.

Requirements:

  • High School Diploma/GED.
  • Preferred: Bachelor's Degree.
  • Two years' experience in a support role.
  • Preferred: two years' experience in a support role and in a facilities role.
  • Detailed with strong organizational skills, capable of completing tasks in an efficient manner.
  • Ability to work with people via phone and email to resolve issues.
  • Proficient in basic computer skills: Microsoft Office Suite including Outlook.
  • General knowledge of office equipment: postage/mail sorting machines, fax, copiers, calculators.
  • Ability to perform duties with minimal supervision.

Required Vaccination.
