Job Summary and Qualifications
GENERAL SUMMARY OF DUTIES: Supervise all Lab Pre-analytics staff working at the ADC Laboratory draw stations and processing areas. Perform phlebotomy and specimen collection procedures as needed. Liaisons with reference laboratories and trouble-shoot courier issues. Oversee and monitor quality assurance aspects of processing and phlebotomy area.
DUTIES INCLUDE BUT NOT LIMITED TO:
- Responsible for day to day supervision or oversight of all laboratory Pre-analytics staff in all ADC draw stations.
- Ensures appropriate scheduling of staff for most efficient coverage.
- Tracks and monitors patient wait times at draw stations and implements processes to improve turnaround time. Tracks number of total patients drawn at each station. Alerts Laboratory Manager and Director when patient wait times are excessive so that additional resources may be made available for immediate resolution.
- Maintain policies and procedures and keep team members informed regarding changes.
- Assists Lab QA Manager / Director with interviewing, selecting, evaluating, and counseling, motivating, disciplining, and recommending termination of laboratory employees as deemed necessary.
- Ensures Pre-analytics staffs receive regular training and in-service training.
- Performs Initial Employment Period (IEP) and annual evaluations.
- Helps evaluates and documents the performance assessment of personnel semiannually during the first year. Thereafter, personnel assessment must be performed annually.
- Helps arrange for personnel to attend approved meetings.
- Trains new employees for staffing in all areas related to phlebotomy, policy and procedures as well as paperwork at all ADC Laboratory draw stations.
- Maintain adequate supplies for section and exercise inventory control with the Purchasing Department.
- Ensures that all incoming and outgoing lab orders and specimens are processed according to ADC procedures and reference laboratory protocols.
- Approves all clinical reference lab results when they are available in Harvest.
- Tracks pending reference lab results and troubleshoot missing reports.
- Performs basic maintenance procedures on all equipment and centrifuges and keeps all related records current.
- Monitor and chart temperature for room, incubator, refrigerator, freezer and courier cooler.
- Disseminates new laboratory policies to section as required.
- Assists Lab Manager / Lab Director to write test procedures and policies to meet section’s goals.
- Implements Performance Improvement projects to improve quality of service when needed.
- In charge of overseeing hazard prevention and safety within the drawing and processing area.
- Keeps current in field by reading related materials and journals.
- Performs phlebotomy and specimen collection procedures as needed.
- Ensure specimen recollections are followed-up and performed within relatively short time.
- Monitor and record rejected and recollect orders; provide written report on monthly basis.
- Liaison with reference laboratories and trouble shoots courier issues.
- Monitors efficiency (quality and quantity) of phlebotomy skills and techniques.
- Monitor quality of service provided.
- Support excellent customer service and professional demeanor of staff.
- Encourages and ensures staff maintains neat work areas at each draw location.
- Encourages and promotes team work by example.
- Attend Supervisor and Lab meetings as required.
- Supervises all Lab Pre-analytic staff (phlebotomists, processors, and Medical Office Specialists)
- Performs other duties as assigned.
EDUCATION:
- High School diploma required
EXPERIENCE:
- Two years management experience is preferred.
CERTIFICATION/LICENSE:
- Certified Phlebotomist, or Certified Medical Assistant, or Certified Nurse Aide or equivalent
KNOWLEDGE, SKILLS AND ABILITIES:
- Experienced and skillful in all types of phlebotomy including geriatric and pediatric.
- Ability to learn different areas of Pre-analytics Section including: Front Desk (Business Associate) duties, processing duties.
- Communicate clearly and effectively with patients, staff, and physicians.
- Ability to provide in-service to staff as needed and be able to train new members as needed.
- Ability to perform section’s office duties which includes: inventory, managing employee’s schedule for all satellite locations.
- Ability to approve/release reference lab results, resolve any issue with physician’s office and reference lab.
- Ability to learn patient account policies, clinic policies, and procedures.
- Ability to learn and perform tasks on the clinic’s computer systems such as IDX, Centricity and Harvest.
- Ability to update, create new forms, procedures and any relevant documentation for the section under the guidance of Lab QA Manager / Lab Director.
- Actively participate in QA program and work closely with Lab QA Manager / Lab Director to implement new Performance Improvement projects and any necessary measurement required.
- Be flexible and work effectively.
- LANGUAGE SKILLS: Possess ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals; effective communication skills.
- MATHEMATICAL SKILLS: Possess ability to ensure that overtime is kept to a minimum for all employees under their supervision.
- REASONING ABILITY: Possess ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Possess ability to deal with problems involving several concrete variables in standardized situations.
