Program Administrative Assistant 1
- Minimum of high school diploma or GED. Some college coursework preferred
- Good written and verbal skills
- Proficient in the use of Microsoft Office
Program Administrative Assistant 1
- Maintain stock of PPE equipment. Submit monthly inventory lists to Program Director.
- Document receipt of client data and scan to client records. Distribute to the BSPs.
- Obtain and notify staff of incomplete timesheets. Turn in completed sheets to payroll.
- Maintain client finance balances. Reconcile accounts at least daily
- Maintain department tracking systems such as DD6’s, Assessments, Evaluations, etc. Submit reports as required
- Schedule and lead monthly meetings with BSPs and residential managers to review tracking data
- Monitor video tape footage of residential homes as assigned
- Assist with residential vehicle maintenance and upkeep
- Assist in monitoring service unit consumption
- Complete the Quarterly review of Incident Reports
- Run the monthly BSP billing report and turn into the Program Director
- Create new hire schedules weekly and communicate with BSPs to determine training availability
- Conduct the weekly New Hire Training wrap up session on Wednesday’s
- Respond to referral calls and emails concerning new services, including ensuring the call list and waitlist are up to date
IPP’s:
- Track assignment of outside case managers
- Track and monitor submission of IPP’s and annual documents
- Compile client budgets from the previous year prior to new annual IPP
- Scanning new hire DD6 and annual DD6
- Track skills assessments, FBA’s, and HRC dates
- Track New Hire Training Packets as they are received weekly
- Attend Manager Meetings bi-monthly to provide updates on finances, evaluations, and training packets
- Communicate with the Water Department concerning Backflows
- Track BBH incident reports as they are scanned
- Conduct Infection Disease Control Officer duties when needed to meet monthly requirements
- Authorize codes for company car locks during business hours
- Maintain a digital DD6 file (backup for HR)
- Notify managers of client balances and needed spend downs
- Assign Evaluations to the manager or BSP, track Evaluations, provide weekly updates
- Serve as back up for ASC Therapies’ office manager during absences, vacations, or lapse periods when we experience turn over in the position
- Assist with providing non-clinical training to DSS
- Follow all job requirements and schedule created by the program director.
- Submit weekly work schedule in advance for approval by the immediate supervisor
- Enter critical incidents and behavior with injury reports into the state IMS system Finance
- Ensure grocery purchases are within budget
- Reconcile and turn in grocery receipts and tracking forms to AP
- Inform managers of food stamp balances and availability of funds
- Reconcile and turn in food stamp receipts and tracking forms to AP
- Complete the monthly food stamp and grocery tracking log for AP use
- Monitor consumption of controllable utilities such as water, electricity, and gas
- Account for cash receipts and client checks
- Account for petty cash
- Maintain SSI guidelines
Assist with maintenance of ABA waitlist
- Provide waitlist clients with monthly updates
- Make prescreen calls to determine client availability
- Schedule intakes for ABA services
Any others duties assigned by the Program Director
Job Type: Full-time
Pay: $15.00 - $16.88 per hour
Expected hours: 40 per week
