Job Summary
The Office Administrator plays a vital role in supporting the day-to-day operations of an ABA therapy practice. This position involves overseeing administrative tasks, meeting with client families, managing client records, coordinating scheduling, and ensuring smooth communication between staff, clients, and families. The Office Administrator will ensure compliance with relevant regulations and policies. A strong focus on family service, organizational skills, and attention to detail is crucial for success in this role.
Duties
- Client Coordination: Manage client families, client intake, schedule initial assessments, therapy sessions, and appointments for clients.
- Administrative Support: Perform general office duties including answering phones, responding to emails, and managing office supplies.
- Oversee daily office operations and ensure efficient workflow.
- Documentation & Record Keeping: Maintain and update accurate client files and treatment records. Ensure all documentation is HIPAA-compliant and kept confidential.
- Communication: Serve as the primary point of contact for families, clients, and staff, ensuring clear and professional communication. Relay important information regarding scheduling, treatment plans, and policy updates.
- Collaboration with Therapists: Assist Behavior Technicians, Board Certified Behavior Analysts (BCBAs), and other team members by scheduling therapy sessions and providing necessary administrative support.
- Data Entry & Reporting: Manage databases and input required information in a timely manner. Generate reports related to client progress, billing, and office operations.
- Customer Service: Provide exceptional customer service to clients and families, addressing inquiries and concerns promptly and professionally.
