Fleet Manager Job Description
We are looking for a full-time Fleet Manager out of our Grand Rapids, MI office. As the Fleet Manager, you'll be at the helm of overseeing our fleet of light-duty and heavy-duty vehicles, both leased and owned. Your responsibilities will encompass a wide array of tasks including monitoring and reporting on onboard telematics, managing vehicle maintenance, handling safety recalls, toll management (where applicable), and ensuring proper licensing.
Key Responsibilities:
- 1.Strategic Fleet Planning:
- Anticipate fleet needs up to eight months in advance for stores, PSX, and corporate personnel vehicles, with a lead time of up to one year.
- Collaborate closely with Enterprise Fleet Management, Penske, Ryder, Alta for warehouse equipment and any other leasing company we use to facilitate orders for new vehicles, maintaining strong business relationships.
- Vehicle Lifecycle Management:
- Maintain a comprehensive Vehicle odometer record to determine optimal timing for vehicle replacements, assessing whether retiring or transferring old vehicles to store locations is most suitable for the light duty fleet.
- Vehicle Repairs and Maintenance:
- Provide expert consultation on vehicle repairs submitted through Help tickets, guiding decisions on whether to proceed with repairs or retire vehicles based on cost analysis.
- Collaborate with the warehouse team to ensure that our trucks are in good working order as well as ensure that each truck is getting the preventative maintenance that it needs.
- Fleet Coordination and Logistics:
- Facilitate vehicle transfers, when necessary, particularly when new vehicles are not readily available.
- Work with Enterprise, Penske, Ryder, and any other leasing company we use on retiring leased vehicles, coordinating their removal from locations as needed.
- Administrative Duties:
- Collaborate with the store teams to ensure that they have the graphics that they need for their vehicles.
- Reporting and Documentation:
- Compile biannual suggestions for vehicle replacements, utilizing fuel reports to inform decision-making.
- Build and Maintain records of vehicle maintenance and repairs for the Fleet.
- Communication and Compliance:
- Communicate effectively with the store and warehouse teams regarding vehicle recalls, ensuring timely awareness and action.
- Assist in vehicle rentals during emergencies when delivery vehicles are out of commission, coordinating alternatives across stores.
- Help monitor the Heavy-Duty fleets FMCSA score and assist the warehouse driver with DOT compliance training.
- Track and renew driver certifications, licenses, and medical cards.
- Prepare and submit compliance reports, such as emissions tests and safety inspections.
- Collaborate with Insurance to handle accidents
- Administrative Support:
- Regularly update Enterprise order status information, maintaining organized spreadsheets for easy reference.
- Order fuel cards for new vehicles and those acquired through acquisitions, ensuring seamless integration into operations.
Job Requirements:
- Valid Driver’s License with acceptable driving record
- Must be at Least 18 Years of Age
- Pass Physical & Drug Screen
- High knowledge of Microsoft office, specifically Excel.
