Job Summary
The Document Operations Manager is responsible for the supervision of department staff, mailroom operations and interfacing with all departments. Provides expanded support for mail operations of groups and individual lines of business while meeting federal and state regulatory requirements.
Responsibilities
Supervises staff in day-to-day mailroom operations.
Coordinates, administers, and makes recommendations in conjunction with selection, orientation, assignment and staffing, performance evaluation, discipline and hiring and discharging employees in the performance of position responsibilities.
Ensures the highest quality of effort by training all new staff and providing on-going remedial and professional development training to current staff.
Work closely with all departments and individuals with mail needs; including routine and expedited mailing needs, relocations, misdirected mail, handling of memos, forwarding mail, return mail, times and schedules of mail pick-up.
Ensures compliance with state and federal laws and regulations.
Assists department leadership with developing and maintaining the mailroom budget.
Maintains working knowledge of claims operations functions to assist in the proper distribution claims inventories to internal Departments or external vendors.
Processes the flow of mail and packages into and out of the mail room to provide timely and cost effective mail service.
Coordinate with Vendors to facilitate files long term file storage & recycling according to contractual and regulatory requirements.
Communicates document status to members and provides as needed and promptly responds in a professional manner to questions, issues or concerns regarding any certified documents tracking.

Requirements
- Associates Degree preferred in related field and/or related experience/training
- At least 5 years supervisory experience preferred in reprographic/mail setting
- Excellent supervisory, clerical, communication, and organizational skills; ability to understand written and spoken instructions
- Excellent customer service, professional attitude and appearance are a must
- Ability to work overtime & meet deadlines
- Possess strong communication skills
- Physical activity required including bending, climbing stairs, reaching, lifting and prolonged periods of sitting or standing
- May lift and/or move up to 50 lbs
