Position Overview:
AFS is looking for a Fleet Operations Administrator with a strong mechanical background, preferably a retired mechanic who still wants to contribute to the industry but is no longer turning wrenches. This role is critical in ensuring efficient workflow by building estimates, sourcing parts, and coordinating repair approvals with clients and fleet management companies (FMCs). The ideal candidate is tech-savvy, quick-thinking, and has strong communication skills.
Key Responsibilities:
- Estimate Creation & Service Recommendations:
- Build repair estimates quickly and accurately using our operating system.
- Recommend necessary services immediately after an inspection.
- Notify the AFS Project Manager once estimates are ready for client review.
- Submit repair requests to FMCs when applicable.
- Parts Sourcing & Management:
- Order parts efficiently and locate nearby vendors if a part is needed on-site.
- Receive incoming parts and organize them into labeled job containers for scheduled repairs.
- Communicate with technicians to ensure parts availability during repairs.
- Fleet Coordination & Workflow Management:
- Work closely with technicians, project managers, and clients to ensure smooth operations.
- Maintain accurate records and track repair statuses in spreadsheets.
- Ensure all repair orders are processed efficiently and on time.
Qualifications & Skills:
Strong mechanical knowledge (preferably an experienced or retired mechanic).
Proficiency with computers, spreadsheets, and fleet management software.
Ability to create estimates efficiently and accurately.
Strong organizational skills to manage parts inventory and repair scheduling.
High-level communication skills to coordinate with technicians, project managers, and vendors.
Quick problem-solving abilities to source parts and adjust repair plans as needed.
Experience working with FMCs is a plus.
