Accounting Specialist - Accounts Receivable

The Accounting Specialist, Accounts Receivable, is responsible for monitoring the company’s accounts receivable process, ensuring accurate and timely invoicing to customers. This position involves generating and distributing invoices, processing customer payments, and creating/maintaining accurate files, records, and reports for the Accounting Department. Reports to the Senior Controller.

Duties and Responsibilities

• Generate and send timely and accurate invoices to customers in accordance with company practices.
• Monitor accounts receivable, ensuring timely collection of payments and resolving any discrepancies or billing issues promptly.
• Maintain and update customer files, including changes in name, address, and contact information.
• Reconcile accounts receivable monthly in collaboration with the accounting team.
• Assist with month-end closing activities related to accounts receivable and billing.
• Prepare and present regular reports on the status of customer accounts, including aging reports.
• Work closely with the sales and service teams to address billing inquiries and resolve issues.
• Ensure compliance with company policies, accounting standards, and industry-specific billing processes.
• Participate in continuous improvement initiatives and contribute to the efficiency of the accounts receivable process.
• Assist with generating and reconciling monthly billing statements based on the general ledger.
• Perform general administrative tasks such as copying, filing, and retrieving materials related to accounts receivable.
• Performs other duties as assigned.

Qualifications:

• Bachelor’s degree in accounting or related field from an accredited college or university and three to five years of relevant experience, or an equivalent combination of education, training, and experience.
• Must have demonstrated experience in accounts receivable, billing, and/or a related field.
• Proficiency in Microsoft Office Suite and accounting software (NetSuite experience is a plus).
• Strong attention to detail and accuracy in data entry.
• Excellent verbal and written communication skills.
• Ability to maintain confidential and accurate records.
• Strong organizational, time management, and multitasking abilities.
• Ability to work independently and as part of a team in a fast-paced environment.
• Excellent interpersonal skills, with the ability to professionally interact with customers and other employees.
