About the Role:
The Project Coordinator plays a key role in managing the flow of service work, scheduling field teams, and aligning service delivery with operational goals. This role goes beyond basic scheduling — it involves project planning, resource management, cost-efficiency, and proactive coordination with both internal teams and customers. The Project Coordinator ensures jobs are properly prepared, efficiently scheduled, and tracked through to completion with a focus on minimizing return trips and maximizing profitability.
Key Responsibilities:
- Coordinate service project workflows across 75 technicians, balancing job readiness, labor availability, technician skillsets, and geographic efficiency.
- Plan and adjust schedules daily based on job complexity, technician fit, cost considerations, and customer deadlines.
- Monitor follow-up dates, customer communication, and job statuses to ensure active pipeline management and timely follow-through.
- Collaborate with operations, finance, and field leadership to avoid redundancy, eliminate waste, and keep service execution aligned with business goals.
- Identify gaps in technician coverage or prep work and escalate potential risks early to avoid delays or return trips.
- Track project priorities, communicate updates, and serve as the go to coordinator for install and service readiness, logistics, and cost-effective dispatching.
- Regularly review sales order reports, flag discrepancies between systems, and ensure accurate documentation from scheduling through job completion.
- Recommend process improvements that support route optimization, coverage zoning, and technician productivity.
- Maintain clear documentation and provide administrative support to ensure jobs are fully documented, invoiced, and closed out efficiently.
Qualifications:
- Bachelor’s degree in business, project management, operations, or related field and three to five years of relevant experience—or a comparable mix of education and work history.
- Proven experience in field service, construction, dispatching, or service technician management.
- Familiarity with project planning concepts like resource management, cost control, or continuous improvement.
- Strong organizational skills with a focus on efficiency, accuracy, and time management.
- Comfortable using scheduling and project management tools; experience with NetSuite, ServicePro, or similar platforms, preferred.
- Ability to critically assess project needs, apply logic to scheduling decisions, and maintain awareness of cost impacts.
- Confident communicator who works well with cross-functional teams and customers to ensure expectations are aligned and met.
