POSITION SUMMARY
The Advancement Associate provides event services support for the Advancement Division of the Autry (Communication, Marketing, Development, and Membership). This role will also coordinate with colleagues across the Autry to help steward, coordinate, and manage community partner functions, classroom and theater rentals, and corporate partner events inside the Museum and on the Museum Lawn.
Reporting to the Senior Director of Corporate and Major Gifts, the Advancement Associate manages activities such as booking dates, updating internal event documents & reports, invoicing, coordinating schedules and logistics with internal departments & external partners, and overseeing the events related to the Advancement Division of the Autry.
ESSENTIAL FUNCTIONS
- Preparing all internal paperwork and reporting, coordinating functions across departments such as security, custodial, facilities etc.,
- Serve as the onsite supervisor during events, coordinating and stewarding assigned Advancement/Partner events
- Manage master calendar and prepare weekly agenda from calendar for internal reviews
- Understand and execute museum policy, procedures and protocol with the confidence needed to make on the spot decisions to satisfy both the constituent and the museum.
- Must exhibit professional conduct and appearance as this position interacts with the public, donors, members and Autry Partners regularly.
- Ability to work a flexible schedule to include some weekends, evenings and early mornings, for up to three (3) events per week, understanding that from week-to-week days and hours worked will fluctuate per the events calendar.
- Perform all other duties as assigned. The Autry Museum reserves the right to add or change duties at any time.
MINIMUM QUALIFICATIONS
Education and Experience:
- Bachelors degree in related field, such as museum studies, communications/public relations, event management, etc.
- 1-3 years of Hospitality and/or Events experience preferred
Knowledge, Skills and Abilities:
- Excellent verbal and writing communication skills
- Ability to multi-task, troubleshoot and keep an even temper under pressure
- Ability to work independently
- Basic knowledge and interest in food and beverage, rentals, and event planning
- Demonstrated proficiency with Microsoft Office (Word, Excel, and Outlook)
- Working knowledge of ALTRU software
WORKING CONDITIONS
This position may require lifting up to 25 lbs. independently, standing for long periods of time, moving quickly throughout the museum. This position requires working both in an office setting as well as outdoors.
