The Medical Records Liaison is a full-time role within the Personal Injury department, responsible for managing the intake, follow-up, and preparation of medical records for litigation. This position plays a significant role in ensuring timely record retrieval, proper documentation, and smooth communication between AVA Law Group, medical providers, clients, and our sister company, Reciprocity Industries. This role offers a mix of administrative precision, client interaction, and project coordination.

The Medical Records Liaison is a full-time role within the Personal Injury department, responsible for managing the intake, follow-up, and preparation of medical records for litigation. This position plays a significant role in ensuring timely record retrieval, proper documentation, and smooth communication between AVA Law Group, medical providers, clients, and our sister company, Reciprocity Industries. This role offers a mix of administrative precision, client interaction, and project coordination.
Key Responsibilities
- Request medical records from healthcare providers for personal injury cases.
- Follow up with providers to ensure timely delivery and resolve delays.
- Track and manage outstanding medical record requests through dashboards.
- Coordinate with clients to obtain and update HIPAA forms.
- Receive, organize, and upload records to the firm’s case management system.
- Coordinate payment of record fees with the CFO.
- Bates stamp and label incoming records for legal use.
- Assist with drafting medical chronologies (med chrons) and timelines.
- Function as liaison between AVA Law Group and Reciprocity Industries for mass tort tracking.
- Monitor and report on dashboards and updates.
- Always maintain confidentiality and professionalism.

- Prior experience in legal, medical, or administrative record management preferred.
- Strong follow-up and time management skills.
- Understanding of HIPAA compliance and privacy practices.
- Attention to detail and ability to manage high-volume tasks.
- Clear and professional communication with clients and outside providers.
- Familiarity with legal software systems and digital document tools a plus.
- Full-time, Monday through Friday.
- Hourly rate based on experience.
