Essential Functions of the Job
- Conduct regular inspections of apartments to assess cleanliness, maintenance, and overall condition.
- Track and follow up on maintenance requests, including issues related to the internet, TV, phone, plumbing, and other apartment-related concerns.
- Maintain supply inventory, ensuring timely delivery and proper storage of apartment-related items.
- Assist with apartment assignments, distribute keys, and manage lockboxes for incoming HCPs.
- Coordinate the setup and turnover of leased apartments, including arranging furniture, stocking supplies, setting up utilities, and ensuring move-in readiness.
- Communicate housing rules and serve as a point of contact for HCP residents, handling communications through email, reports, and message boards.
- Address urgent apartment and tenant needs after hours or on weekends as necessary.
- Maintain and update apartment listings to ensure accuracy and accessibility.
- Coordinate UTEC digital lock access and provide support for any related issues.
- Schedule and coordinate transportation for HCPs, including working with vendors and occasionally driving Avant vehicles when needed.
- Monitor vehicle fleet maintenance, cleanliness, and permit compliance while tracking transportation costs and efficiency.
- Assist with office moves, workstation setups, cleaning schedules, and facility inspections. This includes maintaining corporate conference rooms, stocking breakrooms, organizing the supply storage room, recommending supply orders, and supporting internal facility job requests.
- Monitor and respond to facility, housing, and transportation emails, interact with vendors, and perform general clerical duties such as maintaining records and managing expense reports.
- Collaborate with teams to support corporate housing, corporate transportation, and corporate office needs, contributing to efficient daily operations and a positive work environment for associates.

Normal Work Schedule
This is a full-time position. Standard business hours are Monday through Friday 8:00 AM to 5:00 PM. Additional time outside of these hours may be needed to complete the essential functions of the job.
Education, Training, and Experience
- High school diploma required, or an equivalent combination of education and experience.
- Minimum of 2 years of experience in administrative support, customer service, transportation coordination, or related operational roles.
- OSHA 10 certification required (OSHA 30 preferred), with familiarity in transportation laws and regulations.
- Strong verbal and written communication skills, with the ability to build professional relationships across internal teams, vendors, and clients.
- Demonstrated cultural awareness and sensitivity, with experience communicating and working respectfully, successfully, and professionally with individuals from diverse cultural backgrounds and other countries.
- Excellent problem-solving, organizational, and multitasking skills in a fast-paced, dynamic environment.
- Proficiency in Microsoft Office Suite, Adobe, and database management systems, with strong attention to detail and the ability to work both independently and collaboratively.
Required Licenses, Certifications, and Other Specific Requirements of Law
- Health Insurance Portability and Accountability Act (HIPAA) certification and ability to obtain and maintain
- OSHA 10 certification required (can be provided on the job if not previously acquired)
