Job Summary
The Patient Coordinator plays a crucial role in ensuring the smooth operation of the front office in an Orthodontic Practice. They are responsible for overseeing front office day-to-day tasks, managing patient inquiries, and maintaining efficient front office operations. Team Avery Ortho is looking for an energetic, friendly, and organized Patient Coordinator to join our team.
Duties
- Greet, assist and check-in patients in a friendly and professional manner
- Promptly answer the phone and check voicemails
- Monitor the front desk email
- Manage patient appointments and scheduling
- Handle patient inquiries and provide accurate information
- Manage all correspondence with patients
- Collect patient payments when necessary
- Work closely with the doctor to send treatment plan letters, extraction letters and electronic records to referring practices
- Coordinate with staff to submit necessary Rx to lab for oral appliances
- Receive daily packages and check-in all delivered lab appliances into the patient management software
- Organize annual team OSHA and CPR training certifications
- Oversee the emergency line and dispatch to the assistant on-call
- Maintain reception area tidy and stocked
- Monitor front office supplies and place orders when necessary
Skills
- Well versed in proper phone etiquette
- Knowledge of health information management practices
- Familiarity with dental terminology including orthodontics
- Experience with Dolphin Management software is preferred but not required
- Strong organizational skills to manage the daily operations of the front office
- Ability to work efficiently in a fast-paced environment
- Attention to detail and the ability to complete tasks in a timely manner
- Excellent written and verbal communication skills to interact with patients and staff members
- proficiency is a plus for effective communication with diverse patient populations but not required ()
- Proficient in Microsoft Office
- RDA certification is preferred but not required
- Previous orthodontic assisting experience is preferred but not required
