The role of our Customer Service Representative is pivotal within our veterinary clinic, requiring a unique blend of attention to detail and personalized service. Responsibilities:
- Greet and assist clients during check-in and check-out processes.
- Provide prompt and courteous support to clients via in-person interactions, telephone calls, text, and email.
- Guide clients through the process of admitting their pets, including discussing financial options, deposits, and expectations.
- Maintain accurate and up-to-date client and patient records.
- Relay any special client needs or inquiries to relevant staff members and veterinarians.
- Manage incoming calls, schedule appointments, and address client inquiries.
- Maintain the appearance of the hospital premises, ensuring cleanliness inside and outside.
- Handle administrative tasks such as scanning files, fulfilling requests from veterinarians, managing record requests and emails.
- Actively participate in training sessions and continuing education opportunities.
- Assist the CSR Lead, Nurses and Veterinarians as required.
Success Factors:
- Minimum of 2 years of experience in a veterinary hospital setting preferred.
- Proficiency in client service operations, medical record management, check-in/check-out procedures, and client communication via email and phone.
- Familiarity with Daysmart/Vetter operating software preferred but not required.
- A team player with a knack for fostering strong client relationships.
- Strong organizational abilities and adeptness at multitasking.
- Excellent communication and active listening skills.
- Critical thinking aptitude with a knack for problem-solving.
- Ability to maintain composure and professionalism in high-pressure situations.
