We are a small, focused organization seeking a Accounts Receivable and Contracts Specialist to join our team at APS headquarters in Mesa, Arizona. In this role, you will be a key contributor to our mission by supporting sales operations and be responsible for invoicing, collections, and contract management workflows. You will report to the Director of Sales and your work will be a key accountability feature of our business processes enabling APS to advance global aviation safety successfully.

Job Information
- Location: APS Headquarters, KIWA – Mesa, Arizona.
- Schedule: Full-time, in-office position.

- Manage QuickBooks invoicing and collections, ensuring timely payments and leveraging automation tools.
- Maintain and utilize government and enterprise billing/procurement portals such as Ariba, Coupa, WAWF, SAM.gov, etc.
- Oversee contract management, including compliance and deliverables tracking, and help strengthen contractual relationships by collaborating with sales representatives and vendors.
- Optimize HubSpot, QuickBooks, and Google Suite to streamline sales operations.
- Track revenue and build reports to support data-driven decisions.
- Track monthly commissions for sales reps.
- Support team members, performing back-up, possibly cross-functional, duties as needed
- Address operational challenges with innovative solutions aligned with APS values.
Qualifications
- Required Expertise:
- Proficiency in QuickBooks, HubSpot, and Google Suite.
- Experience with invoicing, collections management, and contract workflows.
- Strong organizational and time-management skills with attention to detail.
- Self-directed, always striving for professional excellence in both work product and interpersonal communications.
- Works well both independently and in a team environment, values transparency.
- Preferred Expertise (Not Required):
- Experience managing HubSpot dashboards and automation tools.
- Familiarity with government contracts and compliance.
- Advanced knowledge of sales funnel operations and analytics.
