Office Operations Coordinator
Aviators Insurance Agency, a leading agency for aviation insurance, is actively recruiting for an Office Operations Coordinator based in Aviators’ Van Nuys, CA office.

The Office Operations Coordinator will be responsible for office reception duties and will serve as the initial point of contact for Aviators’ clients, prospective clients, and vendors. They will also handle incoming and outgoing mail and email correspondence, manage the inventory and ordering of office supplies, and provide overall operations support to Aviators’ agents.
The ideal candidate for this position will have a professional and cheerful customer service mindset, with exceptional communication, time management, organizational, and critical thinking skills. We are looking for a friendly self-starter who takes initiative while also taking direction. Proficiency with basic office computer functions (email, calendars, word processing, spreadsheets, data entry) is a must.
This is a full-time, salaried, in-office position (not remote).
The work schedule for this position will be Monday through Friday from 8:00 AM – 4:30 PM (with rare but occasional earlier and/or later hours needed).
The salary range for this position is $45,000 - $55,000 and represents Aviators’ good faith minimum and maximum range for this role at the time of posting. The actual compensation offered to a candidate will be dependent on a variety of factors, including, but not limited to, the candidate’s experience and qualifications.

ESSENTIAL DUTIES & RESPONSIBILITIES
- Office reception: cheerfully answer and direct incoming calls; take detailed messages; greet walk-in clients and vendors with a smile
- Correspondence: open, sort, and distribute incoming mail; prepare outgoing mail; monitor and direct incoming agency emails
- Office supply management: ensure that office supplies are stocked; order supplies as-needed
- Operational support: assist agents with data entry and data processing; filing; payment processing; other duties as-assigned
KNOWLEDGE, SKILLS & EXPERIENCE
- Prior reception, customer service, and/or office support experience preferred
- Must have the ability to communicate in a friendly and professional manner with clients, prospective clients, vendors, and colleagues
- Excellent attention to detail is required
- Exceptional organizational skills are required
- The ability to multi-task, prioritize, and follow-through is required
- General knowledge of office computer functions is required (email, calendars, word processing, spreadsheets, data entry)
- High school diploma required, associate’s degree or higher preferred
