PURPOSE:

Responsibilities include, but are not limited to, greeting, and assisting with guest arrivals and departures by handling guest check-ins and check-outs. While providing prompt and courteous service, including receiving telephone calls, guest requests, guest reservations, and faxes and ensuring complete guest satisfaction. Daily completion of system closes out procedures and preparation of accounting duties as assigned by the General Manager.

RESPONSIBLITIES:

· Ensure complete guest satisfaction.

· Ensure complete guest safety.

· Check in and check out of the guest.

· Gives information about room and package rates.

· Must work alongside other team members in harmony.

· Informs guest of the hotel facilities.

· Assign guest rooms.

· Must be friendly, helpful, and well-groomed and dressed to standards always complete with name tag as stated in the employee handbook and Avid-Lebanon, TN Standards.

· Must understand and adhere to cash handling AND credit card policies.

· Must be well versed in cash handling and accurately balance house bank to include shift cash count verification report and report witness procedure.

· Responsible to always make a great first impression.

· Complete guest registration process to include retrieval of all required information including address, company name and email address.

· Must be familiar with and quote information for Avid-Lebanon, TN Hotel Frequency program to include reward redemption and processing.

· Completion and distribution of shift check list and EOS Email.

NIGHT AUDIT

· Daily shift review of applicable PMS Accounting, Statistical and Credit Card Processing Software and daily operational reports review to verify congruency with daily H & N Hospitality Management Accounting and Statics reports. Recording notes and corrections on each respective report. Daily maintain a correction/audit trail file for all daily corrections and no-show postings. Report findings/report specific information to the General Manager daily.

· Assign guest rooms based on preferences and availability. Informing next shift of any opportunities due to non-met service requests.

· Drives the revenue management process.

· Handling guest concerns in a tactful manner and achieving resolution with guest follow up and written documentation of all occurrences forwarded to the General Manager.

· Daily completion and documentation of daily call around report and shift check lists.

· Knowledge implementation and follow up of all Avid-Lebanon, TN standards regarding handicap policies and procedures.

· Answers questions regarding the hotel's facilities and services

· Answering telephones and making reservations

· Answering guest inquiries to include accurate area directions.

· Recommending local area restaurants, points of interests and / or needs for transportation.

· If applicable, Daily review of guest scores and guest survey and social media comments reporting results as designated by the General Manager in nightly email format.

· Handling guest needs.

· Maintaining cleanliness of front desk, lobby, and back office.

· Following up with guest check-ins, opportunities, and other requests.

· Interacting with other departments and employees to ensure a good working relationship for all guest needs.

· Understands and implements (when necessary) all emergency procedures for incidents, accidents, fire, safety, or criminal activity. This includes knowledge and location of all utility shut down equipment and sprinkler and fire alarm knowledge and system locations.

· Ensures that Avid-Lebanon, TN quality standards and services are maintained for Property, Product and People.

· Must be able to work all shifts or varying schedules to support the business needs.

· Ensures security for the hotel's customers, employees, and property assets.

· Supports established policies and procedures for Avid-Lebanon, TN.

· Responsible for following instructions and performing work as assigned by a supervisor or the General Manager.

· Daily review of hotel shift EOS Emails and/or communication logs utilized specific to your hotel location.

NIGHT AUDIT

· Responsible for daily monitoring of cleanliness and maintaining appropriate inventory levels of Sweet Shop. Ensuring the General Manager is notified of replenishment needs.

· Responsible for logging all lost and found items received from the housekeeping department in the PM system. Ensures lost and found items are secured according to Avid-Lebanon, TN and H & N Hospitality Management guidelines.

· Responsible for running of audit reports and journals from the PMS with emphasis on review and correction of deficiencies noted on respective reports.

· Prepares daily revenue/statistical reports by auditing system accounts and journals to break down revenue for disbursement into the H & N Hospitality Management Daily Accounting and Statistical Report.

· Daily review of guest ledger and house account ledger, verifying method of payment meets hotel standard requirements and processing of payments, as necessary.

· If applicable, Prepare A/R billing, distribute for General Manager review

· Handles all computer opportunities that might occur throughout the shift.

· Nightly review of rate report, credit card status, previous and current day flash screen and reconciliation report, making all necessary corrective actions.

· Completion of daily night audit pack, daily cash packet and General Manager daily report packet. (Reports, if applicable, may require email notifications)

· Completion of daily pre-close function and daily close out function.

· Daily completion of EDC/EDT/Merchant Link/Dollars on the Net module.

· Balances all revenue and settlement accounts nightly. Making certain not to run close out until after mid-night unless instructed by the General Manager.

· Ensures all reports and back up vouchers are complete and filed properly.

· Reviews and corrects discrepancy in all areas of the PMS. Report discrepancies on audit pack cover sheet.

· If applicable, Ensure daily zip outs and newspaper delivery process and completion prior to 6am.

· Verifies supply inventory level – complete report and forward to the General Manager.

· Prepare daily labor time and cost (housekeeping/laundry) on report and publish for all employees to review.

· Prepare nightly email for General Manager to include requested daily and PTD revenue results, labor time and costs, out of order rooms/explanation, complimentary rooms/reason, Guest Comment/Score review and housekeeping rooms cleaned discrepancy.

· Begin set up of breakfast (cooking/total preparation if applicable) prior to breakfast attendant arrival.

NIGHT AUDIT

· Check exercise room, business center and pool area for supplies and amenities. Replenish, clean, and organize as needed.

· Verify public area restroom cleanliness and act, as necessary.

· Verify cleanliness of lobby vestibule and other exit locations. Act if necessary.

· Stock fax machine and all printers with paper and prepare front desk for current day activities.

· Must have exceptional knowledge in hotel accounting operations to include all aspects of Avid-Lebanon, TN PMS, H & N Hospitality Management Daily Accounting Report, and other applicable PMS modules.

· Must have exceptional mathematical skills and ability to operate a 10 key by touch.

· Must have exceptional abilities to use computer systems and software specifically PMS Brand Software to include various modules, Microsoft Word, and Microsoft Excel.

· Responsible for knowledge, review and training of all safety procedures as outlined in the Avid-Lebanon, TN safety manual.

· Responsible for reporting all suspicious persons or activities, hazardous conditions to management and/or front desk. Due to the hours of this shift, a phone call to the General Manager may be necessary.

Job Type: Part-time

Pay: $13.00 - $14.00 per hour
